This is a fully remote position, open to applicants in California.
β’ Oversee the comprehensive planning and execution of assigned events, which includes managing timelines, budgets, planning documents, keeping stakeholders updated, developing event flows, creating agendas, and executing onsite logistics.
β’ Assist with event programs focused on training and education, handling room arrangements, schedules, materials, event platforms, and onsite requirements.
β’ Manage venue selection, hotel room blocks, meeting spaces, food and beverage services, audiovisual needs, signage, dΓ©cor, transportation, staffing, and event materials.
β’ Oversee logistics for partners and sponsors, including registration, booth requirements, brand assets, presentation schedules, meal sponsorships, and onsite expectations.
β’ Facilitate attendee registration, communications, room assignments, dietary requirements, travel details, name badges, event app content, and materials for participants.
β’ Keep project plans, production schedules, contact lists, vendor records, and budget tracking up to date.
β’ Collaborate with Sales, Marketing, Training, Product, and leadership teams.
β’ Travel for site visits, pre-event planning, onsite setups, event management, and post-event evaluations as required.
β’ Proactively anticipate needs, identify potential risks, resolve issues, and ensure that events uphold the A|T Collective brand's quality and professionalism.
β’ Utilize independent judgment in managing event budgets, selecting vendors and venues, negotiating contract terms, and making onsite decisions with minimal day-to-day oversight.
β’ Previous experience in planning corporate meetings, incentive programs, conferences, training events, travel industry functions, or large-scale customer/partner initiatives.
β’ Strong project management capabilities with the ability to handle multiple timelines, vendors, stakeholders, and various moving parts simultaneously.
β’ Outstanding attention to detail and commitment to follow-through.
β’ Excellent written and verbal communication skills, including the ability to prepare clear updates, recaps, agendas, and event documentation.
β’ Familiarity with hotels, destination partners, vendors, convention services, audiovisual teams, and event production resources.
β’ Ability to work under tight deadlines and adapt swiftly to changing priorities, details, or onsite requirements.
β’ Proficient in Microsoft Office, particularly Word, Excel, PowerPoint, and Outlook.
β’ Experience with event platforms or registration tools is a plus.
β’ Preferred experience in the travel industry, hospitality, supplier relations, or advisor-facing events.
β’ Must reside in or near Southern California and be able to travel as necessary.
