This is a fully remote position, open to applicants in United States.
• Strategize and implement around 25 virtual and in-person events annually, including workshops, conferences, and summits at VA facilities.
• Oversee the complete event lifecycle from initial planning and logistics management to on-site execution and post-event assessment.
• Handle event logistics, registration processes, virtual and physical setups, content creation, breakout sessions, agendas, and participant engagement strategies.
• Establish and uphold Event Execution Timelines for each event.
• Produce conference registration materials, event agendas, and post-event summaries.
• Formulate Logistics Coordination Plans and Vendor Management documentation.
• Facilitate communication and content-sharing platforms between the contractor and program office.
• Collaborate with the VA team and advisory group throughout all phases of event coordination.
• Organize on-site logistics and travel as necessary.
• Assist the technology support team and liaise with VA OIT regarding conference application usage.
• Conduct post-event assessments, gather participant feedback, and provide reports with recommendations for improvements.
• Ensure that event materials and activities adhere to VA policies and Section 508 accessibility standards.
• Aid in weekly status meetings with the COR and VA Program Manager.
• Contribute updates regarding events to weekly and monthly progress reports.
• Minimum of 4 years of professional experience in event, conference, or meeting planning.
• Bachelor's degree in hospitality management, communications, business, public health, or a related discipline.
• Extensive experience in the public health sector, with knowledge of healthcare program audiences and stakeholders.
• Proven ability to plan and execute both virtual and in-person events.
• Proficient in virtual event and registration platforms (such as Microsoft Teams, Webex, or similar tools).
• Experience in supporting federal government events.
• Strong preference for familiarity with VA facility protocols and government event requirements.
• Demonstrated capability in vendor management, logistics coordination, and tracking event budgets/timelines.
• Knowledge of Section 508 accessibility standards for event materials and platforms.
• Experience in supporting complex projects and transformation initiatives within the federal government.
• Comfort in managing complex client relationships.
• Ability to handle competing deadlines across multiple simultaneous events.
• Capacity to obtain and maintain a public trust clearance.
• Legal authorization to work in the U.S.
• Strong critical thinking, analytical, and time management abilities.
• Proven capability to organize, prioritize, and collaborate effectively with others.
• Ability to articulate thoughts, ideas, and solutions clearly, both in writing and verbally.
