This is a fully remote position, open to applicants in United States.
• Oversee the entire event lifecycle, from strategic planning and creative briefs to budgeting, contracting, logistics, on-site execution, assessment, and recommendations.
• Manage major tradeshow and exhibit initiatives, including booth strategy, floor layouts, meeting areas, signage, audiovisual requirements, product demonstrations, shipping, installation, and dismantling.
• Collaborate with Sales and Marketing to develop customer forums, advisory meetings, executive experiences, and meeting strategies.
• Craft customer experiences that showcase how AIS solutions facilitate diagnosis, intervention, workflow efficiency, and clinical decision-making.
• Supervise agencies, exhibit houses, venues, production teams, and suppliers; establish scopes and schedules, track deliverables, resolve issues, and uphold budgetary discipline.
• Handle event registration and attendee communications using Cvent.
• Coordinate campaign and lead workflows, utilizing Workfront to manage associated event processes.
• Develop operational plans for staffing, registration, travel, housing, catering, purchase orders, risk management, accessibility, and contingency responses.
• Lead on-site teams and operations, making prompt decisions to safeguard customer experience, event goals, and safety.
• Evaluate attendance, engagement, meetings, lead generation, expenditures, and feedback; share results and recommendations with stakeholders.
• Implement company policies and healthcare industry regulations regarding privacy, promotional review, compliance, brand standards, and customer interactions.
• Enhance repeatable event practices and offer guidance to coordinators and cross-functional teams.
• Bachelor’s degree in Marketing, Communications, Event Management, Business, or a related field, or equivalent professional experience.
• 5+ years of progressive experience in event planning and management.
• Proven track record of independently managing complex corporate events within a large or matrixed organization.
• Successful experience leading national or international tradeshows, conferences, customer programs, or executive events across multiple concurrent workstreams.
• Practical experience with Cvent and Workfront in event registration, marketing campaigns, lead follow-up, and relevant corporate processes.
• Strong skills in managing event budgets, timelines, contracts, agencies, vendors, and on-site operations.
• Excellent written, verbal, and interpersonal communication abilities.
• Capability to influence stakeholders and communicate effectively with senior leaders, customers, and suppliers.
• Good judgment and meticulous attention to detail.
• Ability to handle shifting priorities, resolve issues, and deliver outcomes during peak event periods.
• Willingness to travel domestically and internationally 20-30% of the time, including occasional evenings and weekends.
• No employment visa sponsorship; must be legally authorized to work in the United States.
• Preferred: Experience in healthcare, medical devices, life sciences, or another regulated industry.
• Preferred: Experience in supporting hybrid events, lead-retrieval tools, and event performance reporting.
• Preferred: Skill in translating technical or clinical information into clear, engaging customer experiences.
