Event Design Coordinator

This is a fully remote position, open to applicants in Switzerland, +2 more countries.

📋 Description

• Act as the main point of contact for all event-related creative requests within Tether.

• Define requests, including the type of deliverables, formats, quantities, deadlines, dimensions, venue/vendor limitations, and brand guidelines.

• Highlight conflicting timelines, unrealistic turnaround times, and missing information.

• Provide designers with comprehensive specifications.

• Oversee multiple simultaneous event workstreams involving various teams and deadlines.

• Monitor active requests and proactively identify bottlenecks.

• Evaluate designer deliverables for brand consistency, copy accuracy, resolution, color mode, bleed, trim, safe zones, file formats, and platform specifications.

• Detect errors such as typos, incorrect sizing, low-resolution exports, broken links, and outdated logos.

• Maintain an adaptable quality assurance checklist and process.

• Organize and document event assets, briefs, and deliverables in shared drives.

• Keep vendor details, production specifications, and lessons learned from events up to date.

• Anticipate vendor lead times, print production durations, scope alterations, and shipping delays.

• Incorporate buffer and contingency plans into project timelines.

• Collaborate with vendors and print/production partners.

• Provide proactive status updates to stakeholders.

• Serve as a liaison between business requesters and the design team.

• Continuously enhance intake and review processes.

⛳️ Requirements

• Over 5 years of experience in event marketing, event production, creative operations, or project management with a significant focus on events.

• Demonstrated experience managing both print and digital production processes.

• Familiarity with dielines, safe zones, RGB, and print production specifications.

• Exceptional organizational and multitasking abilities.

• Capability to handle multiple concurrent, cross-functional requests with competing deadlines.

• Strong attention to detail.

• Experience in reviewing and providing actionable feedback on creative outputs.

• Proactive and risk-aware mindset.

• Excellent written and verbal communication skills.

• Knowledge of project management tools such as Asana, Monday, or similar platforms.

• Familiarity with design review tools like Figma.

• Experience in establishing shared drive structures or asset libraries.

• Proficient in English.

• Proficiency in Spanish and/or Italian is advantageous.
