Event Design Coordinator

This is a fully remote position, open to applicants in Italy, +3 more countries.

📋 Description

• Act as the main point of contact for creative requests related to events across Tether.

• Define deliverables, formats, quantities, deadlines, dimensions, venue/vendor constraints, and brand guidelines.

• Identify conflicting timelines, unrealistic turnaround times, and missing information.

• Provide designers with comprehensive specifications.

• Oversee multiple concurrent event workstreams across teams and deadlines.

• Monitor active requests and proactively highlight bottlenecks.

• Evaluate designer outputs for brand consistency, copy accuracy, resolution, color mode, bleed, trim, safe zones, file formats, and platform specifications.

• Detect errors such as typos, incorrect sizing, low-resolution exports, broken links, and obsolete logos.

• Maintain a scalable quality assurance checklist and process.

• Organize and document event assets, briefs, and deliverables in shared drives.

• Uphold vendor details, production specifications, and lessons learned from events.

• Anticipate risks related to vendors, production, scope, and shipping while developing contingency plans.

• Coordinate with vendors and print/production partners.

• Deliver proactive status updates to stakeholders.

• Serve as a liaison between business requesters and the design team.

• Continuously enhance intake and review processes.

⛳️ Requirements

• Over 5 years of experience in event marketing, event production, creative operations, or project management with a significant focus on events.

• Demonstrated experience in managing print and digital production processes.

• Understanding of dielines, safe areas, RGB and print production requirements.

• Exceptional organizational and multitasking abilities.

• Capacity to handle multiple concurrent, cross-functional requests with competing deadlines.

• Keen attention to detail.

• Experience in reviewing creative work and providing actionable feedback to designers.

• Proactive, risk-aware mindset.

• Strong written and verbal communication skills.

• Familiarity with project management tools such as Asana or Monday.

• Knowledge of design review tools like Figma.

• Experience in establishing shared drive structures or asset libraries.

• Proficient in English.

• Knowledge of Italian or Spanish is an advantage.
