Event Design Coordinator

This is a fully remote position, open to applicants in Belgium, +4 more countries.

📋 Description

• Oversee the intake, production, and quality control of event-related creative requests throughout Tether.

• Define deliverables, formats, quantities, deadlines, dimensions, venue/vendor limitations, and brand guidelines.

• Identify conflicting timelines, unrealistic turnaround times, and missing details, and propose feasible solutions.

• Provide designers with comprehensive specifications and manage multiple simultaneous event workstreams.

• Monitor ongoing requests and identify bottlenecks before they impact event timelines.

• Evaluate print and digital outputs for brand consistency, accuracy of copy, resolution, color mode, bleed, trim, safe zones, file formats, and platform requirements.

• Detect errors such as typos, incorrect dimensions, low-resolution exports, broken links, and outdated logos.

• Maintain a scalable quality assurance checklist and procedure.

• Organize and document event assets, briefs, deliverables, vendor information, production specifications, and lessons learned.

• Anticipate vendor lead times, production schedules, scope modifications, and shipping delays; create buffer and contingency strategies.

• Collaborate with vendors and print/production partners regarding specifications and delivery timelines.

• Provide proactive status updates to stakeholders across requesting teams and design.

• Serve as a liaison between business requesters and the design team.

• Continuously enhance the intake and review process.

⛳️ Requirements

• A minimum of 5 years of experience in event marketing, event production, creative operations, or project management with a significant events focus.

• Proven experience in managing print and digital production workflows.

• Understanding of dielines, safe areas, RGB vs. CMYK, bleed, trim, and print specifications.

• Strong organizational and multitasking abilities.

• Demonstrated capability to handle multiple concurrent, cross-functional requests with competing deadlines.

• Keen attention to detail.

• Experience in reviewing creative work and providing actionable feedback to designers.

• Proactive, risk-aware mindset.

• Excellent written and verbal communication skills.

• Familiarity with project management tools like Asana, Monday, or similar platforms.

• Knowledge of design review tools such as Figma.

• Experience in establishing shared drive structures or asset libraries.

• Proficient in English.

• Spanish or Italian language skills are a plus.
