This is a fully remote position, open to applicants in United Kingdom.
• Conduct research and compile a list of potential venues for meetups, dinners, and side events.
• Solicit and evaluate commercial proposals from venues and other service providers.
• Arrange and manage the printing of flyers, banners, certificates, business cards, and various materials.
• Collaborate with merchandise suppliers on production, branding, and delivery processes.
• Oversee international delivery logistics using courier and postal services.
• Monitor deadlines, statuses, budgets, and vendor commitments for all events.
• Work closely with the Marketing team to aid in expo and event-related activities.
• Prepare guest lists, invitations, confirmations, and reminders.
• Communicate effectively with international vendors, partners, and organizers in English.
• Coordinate the collection of photo and video content following events.
• Assist in crafting post-event reports and presentations.
• Manage vendor invoices by verifying details, tracking approvals, and following up on payments.
• Keep organized records of vendor contacts, quotes, cost sheets, and agreements.
• Perform additional tasks pertinent to the role.
• Exceptional written and verbal English communication skills.
• Experience collaborating with suppliers such as printing vendors, merchandise and branding providers, venues, and/or catering services.
• Strong multitasking and organizational capabilities; adept at handling multiple tasks and vendors concurrently.
• Ability to manage invoices, quotes, and cost sheets with meticulous attention to detail.
• Proficient user of Google Docs, Sheets, Drive, Telegram, Google Meet, Notion (or similar tools).
• Capacity to work autonomously, follow up proactively, and encourage vendors to meet deadlines.
• Good sense of aesthetics and an eye for quality in visual materials (understanding what appears clean, modern, and on-brand).
• Experience with printing vendors and merchandise production is preferred.
• Familiarity with the event lifecycle (pre-production → event → post-event) is preferred.
• Background in negotiating prices and terms with suppliers is preferred.
• Experience in organizing offline events (ranging from small meetups to larger gatherings) is preferred.
