This is a fully remote position, open to applicants in Philippines.
• Collaborate closely with the Design team to grasp project concepts, construction specifications, finishes, and the envisioned customer experience.
• Examine 3D designs, architectural plans, specifications, timelines, and client briefs.
• Convert concepts and drawings into precise, detailed, and commercially viable cost estimates.
• Calculate costs for materials, labor, fabrication, installation, transportation, equipment, and subcontractors.
• Provide feedback on materials, fabrication techniques, buildability, budgets, and cost-saving alternatives during the estimating process.
• Confirm project scope, client specifications, budgets, inclusions, exclusions, and quotation deadlines with Producers.
• Create client quotations, professional sales proposals, and tender submissions.
• Utilize Excel and estimating or quotation software for cost breakdowns, pricing schedules, and proposals.
• Gather and compare pricing from suppliers, fabricators, joiners, installers, freight services, and subcontractors.
• Verify calculations, quantities, supplier pricing, and quotation details for precision.
• Identify missing information, scope gaps, commercial risks, assumptions, and potential variations.
• Communicate quotation status, pricing issues, and commercial risks to Designers, Producers, and the Managing Director.
• Maintain records of supplier rates, material pricing, and estimating.
• Review project expenses against approved budgets and identify areas for cost savings.
• Manage multiple quotations and sales proposals while adapting to changing priorities and urgent deadlines.
• Assist with supplier coordination, purchase orders, project documentation, logistics, budgets, and production administration.
• Order and document approved finishes, materials, graphics, equipment, and construction necessities.
• Organize project folders, supplier records, production documents, and job-related information.
• Aid in managing production schedules, project timelines, freight bookings, deliveries, couriers, and logistics.
• Track supplier quotations, approvals, outstanding details, production requirements, and deadlines.
• Organize project costs, supplier invoices, and job records within Xero.
• Update CRM records, client information, opportunities, and sales follow-ups.
• Provide Producers and the Managing Director with updates on quotation status, supplier pricing, project costs, deadlines, and commercial risks.
• Prioritize quotations, proposals, and administrative tasks in collaboration with Producers and the Managing Director.
• Assist the broader team with estimating, production, and office administration as needed.
• Over 4 years of experience in a similar role focusing on production or joinery estimating.
• Estimating experience in commercial joinery, shopfitting, exhibitions, signage, interior fit-outs, or relevant custom construction.
• Proven ability in preparing detailed quotations, professional sales proposals, cost estimates, and tender submissions.
• Advanced proficiency in Microsoft Excel for estimating, calculations, pricing, and cost analysis.
• Strong experience using estimating and quotation software.
• Practical knowledge of Xero accounting software, including purchase orders, supplier invoices, job costs, and financial records.
• Excellent numerical and calculation abilities.
• Ability to interpret architectural drawings, floor plans, construction details, and 3D designs.
• Understanding of custom fabrication, construction materials, labor requirements, and installation processes.
• Familiarity with supplier pricing, subcontractor costs, and outsourced production.
• Exceptional attention to detail and consistently high accuracy.
• Highly organized, methodical, and disciplined approach to information and deadlines.
• Strong commercial writing and proposal-presentation skills.
• Excellent written and verbal communication skills.
• Confidence while engaging with suppliers, contractors, and production partners.
• Ability to work autonomously with minimal supervision and take ownership of your responsibilities.
• Capability to manage multiple quotations, priorities, and project deadlines concurrently.
• Proven track record of delivering accurate work within urgent and shifting deadlines.
• Willingness to learn and navigate across various business software platforms.
• Experience with CRM platforms is highly regarded.
• Familiarity with project management or production scheduling software is a plus.
• Direct experience in the exhibition, events, or branded environments industry is highly valued.
