This is a fully remote position, open to applicants in United States.
• Provide administrative and editorial assistance for the American Journal of Kidney Diseases and Kidney Medicine.
• Oversee manuscript workflows from the pre-submission stage through to post-publication.
• Address pre-submission inquiries from potential authors.
• Coordinate invited and commissioned content by sending out invitations and tracking responses.
• Conduct initial evaluations of newly submitted manuscripts and follow up on submission requirements or any missing materials.
• Facilitate peer review by inviting reviewers and addressing their queries.
• Send reminders to authors concerning submissions, revisions, and overdue materials.
• Notify editors about pending or overdue editorial decisions.
• Monitor and manage co-author confirmation requirements within the manuscript submission system.
• Prepare and schedule weekly and monthly blog and promotional content.
• Review article proofs to ensure compliance with formatting and copyediting standards.
• Update assignments for editorial interns.
• Coordinate and manage the AJKD cover selection process.
• Request and document editor availability.
• Manage ad approval requests between the publisher and the Editor-in-Chief.
• Draft routine editorial communications, including congratulatory letters.
• Assist in promoting journal content on platforms such as X, Bluesky, and Facebook.
• Support data collection, tracking editorial metrics, monitoring publication charges, and handling special editorial projects.
• Provide out-of-office coverage for team members when needed.
• Assist with additional administrative and manuscript-related tasks as assigned by the Managing Editor.
• A Bachelor’s degree is required, ideally in biomedical sciences, English, communications, marketing, or a related field.
• Preferred experience of 1–2 years in an editorial office, scholarly publishing, or a related area.
• Familiarity with peer review processes, Editorial Manager or equivalent manuscript systems, WordPress, and social media platforms is preferred.
• Equivalent combinations of education and relevant experience may be taken into account.
• Excellent written, verbal, and interpersonal communication skills are essential.
• Strong organizational and time management skills, with the ability to prioritize multiple projects and deadlines effectively.
• High attention to detail and a commitment to accuracy.
• Capacity to work independently as well as collaboratively in a remote work setting.
• Demonstrated professionalism and discretion in managing confidential information.
• Advanced computer skills, including proficiency in Microsoft Office Suite and online manuscript management systems.
• Comfortable with communication primarily through email and online editorial platforms.
