Documentation and Business Processes Specialist

This is a fully remote position, open to applicants in United States.

📋 Description

• Collect regulations from various countries, assess local and global impacts, and provide operational instructions and procedures to agents.

• Ensure collaboration and implementation with Country Managers, Regional Customer Service Managers, and Country Customer Service Managers.

• Draft and revise Quality Assurance corporate policies, distributing operational instructions, shipping procedures, and user manuals.

• Maintain relevant portals and the corporate website as necessary.

• Act as a global knowledge hub for agencies on regulations, regulatory compliance, and commercial documentation.

• Execute the Manifest Corrections process, ensuring accurate reason-code registration and the implementation of management-defined KPIs.

• Update Central Tables and develop procedures to guarantee correct processes and compliance.

• Provide emergency support to worldwide agents across different time zones after hours.

• Specialize in international regulations, assess requirements and impacts including IT developments, and roll out new processes on a global scale.

• Evaluate complex situations among agencies and facilitate advantageous resolutions.

• Consult with legal advisors and international shipping organizations, including the World Customs Organization.

• Represent business requirements in documentation and regulatory matters while collaborating with IT.

• Design and articulate needs, writing Business Requirement Documents (BRDs) and requests for IT development and enhancements.

• Contribute to and ensure that shipping issues, procedures, and work instructions are effectively addressed in projects.

• Manage and refresh 35 Bill of Lading templates for all companies in conjunction with Corporate Legal Advisors and the Claims and Insurance Division.

• Oversee template modifications with printing suppliers and agencies.

• Supervise the global procurement of secure paper for Original Bills of Lading to mitigate fraud.


⛳️ Requirements

• A Bachelor's Degree is essential.

• At least 5 years of demonstrated experience in a shipping agency setting, or extensive experience in end-to-end shipping documentation, is required.

• Proven experience or exceptional capabilities in implementing and standardizing processes on a global level is necessary.

• Excellent business English communication skills, both written and verbal, are mandatory.

• Willingness to provide occasional support outside of regular business hours as needed is required.
