This is a fully remote position, open to applicants in United States, +1 more country.
β’ Lead the comprehensive execution of symposiums, mixers, and dinners hosted by Drug Hunter.
β’ Oversee the entire attendee experience, which includes registration, communications, vendor management, logistics, on-site engagement, and post-event follow-up.
β’ Collaborate with the Sales team to implement strategies for invitations and attendance.
β’ Manage event budgets, vendor relationships, and ensure alignment with pre-established event plans.
β’ Coordinate the attendance of Sales and Science teams at more than 40 scientific conferences each year.
β’ Handle Drug Hunter sponsorships, which encompasses planning attendance, managing registrations, fulfilling sponsor deliverables, coordinating promotions, and ensuring event readiness.
β’ Assist the Sales team with site visits related to events, sponsorships, and conferences.
β’ Supervise logistics for the digital Flash Talk series, including speaker coordination, scheduling, communication, and platform readiness.
β’ Integrate Flash Talk registration, attendance tracking, and follow-up activities into HubSpot.
β’ Work alongside Sales and Marketing to enhance follow-up procedures and improve attendee experiences.
β’ Maintain the annual event calendar, documenting activities, deadlines, and responsibilities.
β’ Ensure that all events and attendee activities are accurately tracked in HubSpot.
β’ Develop and uphold Standard Operating Procedures (SOPs), templates, and replicable event processes.
β’ Identify and propose enhancements to boost efficiency, consistency, and overall customer experience.
β’ A minimum of 10 years of experience in event management, field marketing, experiential marketing, or a similar role.
β’ Proven experience in managing intricate in-person and digital event initiatives.
β’ Exceptional organizational skills, project management capabilities, and keen attention to detail.
β’ Strong customer service focus, with high standards for attendee and speaker experiences.
β’ Experience overseeing budgets, vendors, sponsorships, and event logistics.
β’ Excellent cross-functional communication skills and the ability to collaborate effectively with Sales and technical or scientific teams.
β’ Familiarity with HubSpot or a similar CRM/marketing automation platform.
β’ Experience in life sciences, biotech, pharma, or scientific events is highly preferred.
β’ Willingness to travel for Drug Hunter-hosted symposiums and mixers (approximately 30% domestically and internationally).
