This is a fully remote position, open to applicants in United States.
• Take ownership of the comprehensive planning and execution for an 8-city roadshow series, accommodating around 100 attendees per event.
• Lead the sourcing of venues, conduct site visits, and provide recommendations for all locations involved in the roadshow.
• Create and design the event flow, agenda layout, room setups, catering, staging, audiovisual needs, and overall attendee experience.
• Negotiate and oversee contracts with venues, vendors, and suppliers.
• Develop and manage the overall roadshow budget, including city-specific tracking and variance reporting.
• Collaborate with marketing, channel, and community stakeholders effectively.
• Construct and maintain production timelines, run-of-show documents, and on-site staffing arrangements.
• Act as the primary point of contact for venues and suppliers throughout the post-event reconciliation process.
• Conduct evaluations after events and implement insights learned across the series.
• Provide support for site selection and RFP management for additional GTIA meetings and events.
• Review and negotiate contracts for hotels, venues, and suppliers.
• Keep an updated preferred venue database and supplier list.
• Counsel internal teams on venue alternatives, market conditions, and contract risks.
• Ensure roadshow events are delivered on time and within the established master budget.
• Attain cost savings or concessions along with advantageous contract protections.
• Collect feedback and integrate actionable insights into future events.
• Proven expertise in venue sourcing, contract negotiation, and supplier management.
• Experience in managing events of various sizes across multiple markets simultaneously.
• Proficient in event management software, budget tracking, and run-of-show documentation.
• Strong project management capabilities with the ability to handle several events and deadlines at once.
• Exceptional communication and stakeholder management abilities; comfortable with cross-functional collaboration.
• Willingness to travel to all roadshow cities and other event sites as necessary.
• A degree is preferred but not essential for this position.
• Over 15 years of experience in event planning and management.
• A robust track record of executing multi-city or roadshow programs.
• Fully remote work arrangement.
