This is a fully remote position, open to applicants in California.
• Accurately input and document checks and various contributions into the organization’s fundraising CRM.
• Ensure timely and precise entry of donations and donor information into the department’s database and financial systems.
• Prepare and dispatch prompt acknowledgments and thank-you messages to donors.
• Maintain donor records that are accurate and consistently updated.
• Utilize AI or develop systems to track incoming gifts and retrieve missing or incomplete information.
• Offer administrative support for fundraising activities, donor events, and special projects as necessary.
• Act as a liaison between the Finance and Philanthropy teams concerning donations, deposits, donor records, and financial reporting.
• Reconcile data between QuickBooks and the fundraising CRM.
• Investigate and rectify discrepancies between financial and fundraising records.
• Communicate identified issues and work towards their resolution.
• Ensure that fundraising and financial records are maintained accurately and kept up to date.
• Review the fundraising CRM for errors, inconsistencies, duplicate records, and missing information.
• Identify and report any technical issues related to the CRM and data management.
• Develop a comprehensive understanding of CRM processes and pinpoint opportunities for enhancing efficiency and accuracy.
• Assist in documenting and refining administrative and data management processes.
• Collaborate directly with the Head of Philanthropy on best practices and reconciliation methods.
• Create visual materials as needed for philanthropy events, donor communications, and special initiatives.
• Work with the Philanthropy team to brainstorm and create materials that support fundraising and donor engagement objectives.
• A Bachelor’s degree is required.
• Approximately two years of experience in nonprofit fundraising, development, philanthropy, finance, or a related field is preferred.
• Strong organizational and administrative abilities with exceptional attention to detail.
• Excellent visual and design skills, capable of producing polished, professional materials that adhere to departmental branding.
• Digitally savvy and willing to learn and navigate various software platforms.
• Experience with fundraising CRM systems and/or QuickBooks is preferred.
• Strong written and verbal communication skills.
• Ability to manage confidential donor and financial information with care.
• Strong problem-solving abilities and a focus on accuracy.
• Self-driven and proactive, with the capability to work independently and manage responsibilities without extensive guidance.
• Ability to juggle multiple projects and meet deadlines concurrently.
