This is a fully remote position, open to applicants in Arizona, +5 more states.
• Assist the Developer Services Department with regional developer start-up communities.
• Supervise SharePoint and internal platforms while following up with clients.
• Organize and manage the receipt of community start-up documentation.
• Maintain spreadsheets for developers/builders, tracking sheets, and VMS metadata.
• Prepare resolutions for the Board and Design Review Committee, obtaining necessary signatures.
• Execute administrative tasks including file management, Executive Directives, and MAT updates.
• Coordinate activities related to new community start-ups, such as EINs, W-9s, address lists, and insurance quote requests.
• Create transition books for managers.
• Attend developer meetings both in-person and remotely, taking detailed meeting notes.
• Conduct file audits and update templates to ensure compliance with state and federal regulations.
• Organize client information and documents using DocuSign.
• Oversee Billing and Closing Instructions dashboards.
• Draft landscape RFPs, solicit quotes, and enhance bidding forms.
• Collect and monitor community plans, maps, and documents for new budget preparations.
• Complete Boardvue start-up spreadsheets and log start-up tasks.
• Provide assistance to all members of the Developer Services Department and perform related tasks.
• High school diploma or higher.
• Minimum of 3 years of demonstrated success in Community Management, preferably within Developer Communities.
• Established customer service experience with a focus on problem-solving, fostering harmony, and conflict resolution.
• Comprehensive knowledge of budgets and financial management.
• Proficient in computer software and internet applications.
• Strong accounting and financial background, ideally in the HOA sector.
• Valid driver's license.
• Experience working with Developer Communities and/or entities requiring knowledge and enforcement of Governing Documents.
• Capability to prepare and manage a large volume of administrative tasks with meticulous attention to detail and prompt follow-up.
• Excellent interpersonal, written, and verbal communication abilities.
• Capacity to work both collaboratively and independently in a dynamic environment.
• Ability to lift up to 25 pounds.
• Willingness to use a personal vehicle for necessary travel and to walk or navigate properties as required.
• Fully remote position, contingent upon AAM-approved geographic locations based on business and employment needs.
