This is a fully remote position, open to applicants in Philippines.
• Deliver exceptional administrative and customer support for various programs.
• Assist with rostering, scheduling, participant communication, incident management, and phone/email inquiries.
• Prepare quotes and arrange travel bookings.
• Oversee CRM systems management.
• Ensure smooth process support and effective handovers to the other administrator.
• Manage central inboxes and phone lines efficiently.
• Provide administrative assistance across different departments.
• Help with travel arrangements, stationery, and merchandise procurement.
• Support the CEO, COO, and CFO with calendar and meeting organization.
• Maintain data integrity across CRM, CMS, and project management systems.
• Assist with system migrations as needed.
• Aid in payroll and rostering data entry tasks.
• Ensure accurate data entry and linking.
• Adhere to paperwork and process protocols.
• Act as the first point of contact for candidates, participants, and weekend staff.
• Facilitate onboarding, application processes, and communications.
• Organize drop-in sessions, workshops, and online events.
• Promote accessible and inclusive communication practices.
• Process NDIS quotes and manage progress reporting.
• Oversee rostering systems, attendance records, absentee forms, support worker schedules, and WhatsApp groups.
• Identify and escalate engagement challenges.
• Conduct payroll and timesheet reconciliations.
• Assist with the onboarding of new staff and coordinate with managers regarding system access.
• Create accessible templates and ensure timely distribution of updates.
• Participate in staff meetings while upholding confidentiality.
• Provide support to other team members as needed.
• At least 2 years of experience in administration, communications, or member support.
• Exceptional organizational skills and attention to detail.
• Strong written and verbal communication abilities.
• Proficient in problem-solving and risk management.
• Familiarity with CRM, CMS, and project management tools.
• Proactive, adaptable, and comfortable working in a remote environment.
• Excellent interpersonal skills and commitment to inclusive practices.
• Certificate or Diploma in Business Administration is preferred.
• Proven experience in administrative roles.
• Skills in stakeholder engagement and problem-solving.
• Capability to work across different time zones.
• Proficiency in Google Workspace, Microsoft Office, CRM, and Asana.
• Strong capacity for team collaboration.
• Knowledge of the disability, education, or arts sectors is advantageous.
• Experience in governance or payroll is desirable.
