This is a fully remote position, open to applicants in Colorado, +41 more states.
• Oversee and manage the department’s electronic billing and matter management system.
• Review, process, and track legal invoices to ensure prompt approvals, correct coding, and compliance with billing guidelines.
• Facilitate matter setup, law firm onboarding, vendor management, user assistance, and system administration.
• Keep an eye on invoice discrepancies, billing infractions, workflow challenges, and data quality; address issues with stakeholders and law firms.
• Assist with outside counsel engagement, fee structures, accrual tracking, budgeting, and communication with law firms.
• Produce reports on legal expenditures, accruals, vendor performance, matter activities, and operational metrics.
• Collaborate with Finance, Procurement, legal, and technology teams on invoice payments, spend management, and process enhancements.
• Maintain documentation for e-billing, process guidelines, billing records, and controls to ensure governance and audit preparedness.
• Aid in the implementation, testing, training, launch, and workflow enhancement of legal technology.
• Manage special projects through the development of project plans, status updates, dashboards, communication, action tracking, and follow-ups.
• Perform process analysis and research to pinpoint improvements and elevate user experience utilizing company AI tools.
• Support the creation of communication materials, training resources, playbooks, standard operating procedures, and other legal operations tools.
• Bachelor’s degree or equivalent practical experience.
• Over 3 years of experience in legal operations, e-billing administration, legal support, finance operations, procurement operations, project coordination, or a related area.
• Familiarity with e-billing, matter management, finance, procurement, or enterprise business systems.
• High proficiency in Microsoft Office, especially Excel and PowerPoint.
• Capability to create concise reports, summaries, and executive-level materials.
• Experience in supporting projects, monitoring milestones, following up on action items, and driving workstreams from planning to execution.
• Proficiency with AI-enabled productivity tools.
• Excellent organizational skills and meticulous attention to detail.
• Ability to prioritize and manage multiple deadlines in a fast-paced environment.
• Strong written and verbal communication abilities.
• Analytical and problem-solving skills, including root-cause analysis and process enhancement.
• Capacity to manage confidential information and demonstrate sound judgment.
• Familiarity with Legal Tracker, Ariba, or similar e-billing and procurement systems is preferred.
• Experience in managing outside counsel, legal spend administration, invoice reviews, accruals, budgets, or compliance with law firm billing guidelines is preferred.
• Experience in technology implementations, user testing, change management, training, or process redesign is preferred.
• Knowledge of Power BI, Smartsheet, or similar analytics and reporting platforms is preferred.
• Ability to work independently across global teams, regions, and time zones.
