This is a fully remote position, open to applicants in Colorado, +41 more states.
• Act as the main administrator and daily coordinator for the department's e-billing and matter management system.
• Review, process, and monitor legal invoices to ensure timely approvals, accurate coding, and compliance with billing guidelines.
• Facilitate matter setup, law firm onboarding, vendor management, user support, and system administration.
• Oversee invoice exceptions, violations of billing rules, approval workflow issues, and the quality of matter data.
• Address operational challenges with internal teams and law firms.
• Assist in outside counsel engagement, fee structures, accrual tracking, budget management, and communications with law firms.
• Produce routine and ad hoc reports detailing legal expenditures, accruals, vendor performance, matter activity, and operational metrics.
• Collaborate with Finance, Procurement, legal teams, and technology departments on invoice payments, spend management, and process enhancements.
• Maintain e-billing documentation, process manuals, billing records, and controls to ensure governance and readiness for audits.
• Aid in the implementation of legal technology, including testing, training, rollouts, workflow enhancements, and operational initiatives.
• Organize special projects, including project planning, status tracking, dashboards, communications, action-item management, and stakeholder engagement.
• Conduct process analysis and research to uncover opportunities for improvement and enhance the user experience.
• Utilize company AI tools to foster more efficient work practices.
• Assist with departmental communications, training materials, playbooks, standard operating procedures, and resources for adoption.
• Bachelor's degree or equivalent practical experience.
• A minimum of 3 years experience in legal operations, e-billing administration, legal support, finance operations, procurement operations, project coordination, or a related field.
• Familiarity with e-billing, matter management, finance, procurement, or other enterprise business systems.
• High proficiency in Microsoft Office, especially Excel and PowerPoint.
• Capability to prepare clear reports, summaries, and materials ready for executive review.
• Experience in supporting projects, tracking milestones, following up on action items, and assisting in moving workstreams from planning to execution.
• Proficient in using AI-driven productivity tools.
• Strong organizational abilities and attention to detail.
• Capacity to juggle multiple priorities and deadlines in a dynamic environment.
• Excellent written and verbal communication skills.
• Strong analytical and problem-solving capabilities.
• Ability to manage confidential information responsibly and exercise sound judgment.
• Preferred experience with Legal Tracker, Ariba, or similar platforms.
• Preferred experience in managing outside counsel, legal spend administration, invoice review, accruals, budgets, or compliance with billing guidelines.
• Preferred experience with technology implementations, user testing, change management, training, or process redesign.
• Preferred knowledge of Power BI, Smartsheet, or similar platforms.
