Corporate Compliance – Legal Operations Specialist

This is a fully remote position, open to applicants in Philippines, +1 more country.

📋 Description

• Provide assistance to the VP of Compliance & Safety on matters related to compliance, legal operations, regulations, contracts, and risk management.

• Help address escalated customer complaints, disputes, demand letters, attorney communications, and issues involving legal, financial, or regulatory risks.

• Carry out fact-finding missions and collect contracts, communications, photographs, recordings, policies, timelines, and other relevant documentation.

• Compile matter summaries and supporting documents for the VP's review.

• Maintain tracking systems for legal matters, disputes, claims, regulatory concerns, investigations, and deadlines.

• Assist in external counsel matters by preparing necessary materials, monitoring requests and deadlines, and organizing case files.

• Aid in contract management, including intake, templates, amendments, signature routing, renewals, and maintenance of records.

• Evaluate documents for completeness, consistency, and adherence to Company standards; escalate issues as necessary.

• Draft standard business correspondence, notices, and responses for review and approval.

• Support regulatory and governmental inquiries, subpoenas, and investigations by gathering information and preparing necessary materials.

• Assist with internal investigations concerning compliance issues, policy breaches, or potential misconduct.

• Conduct compliance and regulatory research and prepare summaries for the VP.

• Contribute to the development and maintenance of Company policies, procedures, compliance programs, and internal controls.

• Collaborate cross-functionally with Operations, Sales, Finance, HR, Safety, Licensing, Permitting, and various other departments.

• Identify and promptly escalate any compliance, contractual, operational, reputational, or legal risks.

• Uphold strict confidentiality regarding legal matters, investigations, and sensitive Company information.

⛳️ Requirements

• A minimum of 2 years of experience in legal operations, compliance, corporate legal support, contracts, regulatory affairs, claims, investigations, or a related area.

• Preferred experience in roofing, construction, home improvement, or general contracting.

• Preferably experienced with escalated disputes, contracts, investigations, regulatory issues, or litigation support.

• Strong research, analytical, writing, and documentation abilities.

• Excellent organizational skills; capable of managing multiple matters and deadlines.

• High attention to detail, professionalism, discretion, and confidentiality.

• Ability to work effectively with senior leadership and cross-functional teams.

• The Specialist is not permitted to independently provide legal advice, interpret laws on behalf of the Company, represent the Company as legal counsel, engage outside counsel, request legal opinions, direct counsel, or make decisions reserved for Company leadership or licensed attorneys.
