This is a fully remote position, open to applicants in Canada.
• Welcome patients to their appointments and assist them in using the iMD educational program on the clinic's iPads.
• Handle incoming phone calls and fax communications.
• Confirm upcoming patient appointments.
• Order and receive supplies and equipment for the clinics.
• Collaborate on the equipment, delivery, and installation of new clinics.
• Follow up on missing medications and documents with programs and pharmacies.
• Send forms and reports via fax or email.
• Troubleshoot IT issues in cooperation with the IT team.
• Prepare charts and medications for the next day's appointments.
• Transport medications, blood samples, and supplies to other clinics as needed.
• Maintain the registry of discontinued medications.
• Participate in monthly inventory and regular checks.
• Address courier requests and manage returns of goods to the head office.
• Contribute to temperature variation reports for refrigerators.
• Assist in communications with the Occupational Health and Safety Commission.
• Archive and return patient reports to the head office.
• Support quality initiatives to maintain ISO certification for Innomar clinics.
• Coordinate patient and client support requests, file admissions, documentation, and follow-up.
• Monitor workflows, queues, and transaction quality.
• Collaborate with internal stakeholders, external partners, and service providers.
• Escalate complex issues and service risks.
• Enhance workflows and promote the adoption of digital processes.
• Execute other assigned tasks.
• May be required to remain on standby.
• High School Diploma or preferred Post Secondary education.
• Technical vocational training or a suitable combination of experience and education.
• 3-5 years of experience in a similar administrative role.
• At least two years of experience in the healthcare field.
• Experience with SalesForce software or a CRM system is advantageous.
• Post-secondary education in medical office administration or equivalent in a relevant discipline.
• Ability to communicate effectively in both written and verbal forms in English and French is a plus.
• Comprehensive knowledge of Microsoft Office Suite is essential.
• Proficiency in Microsoft Word, Excel, PowerPoint, and other Office applications.
• Familiarity with the pharmaceutical distribution industry is a plus.
• Strong analytical and mathematical abilities.
• Capability to work both independently and collaboratively within a team environment.
