This is a fully remote position, open to applicants in Massachusetts.
• Manage customer contracts, purchase orders, change orders, and associated agreements throughout the entire contract lifecycle.
• Establish, review, maintain, modify, amend, and finalize contracts.
• Evaluate purchase orders, contracts, flowdowns, terms, and conditions for precision, completeness, compliance, and alignment with approved business positions.
• Analyze contractual requirements, obligations, deliverables, milestones, funding, performance periods, schedules, reporting requirements, and customer flowdowns.
• Identify risks, exceptions, and necessary internal actions, escalating issues when appropriate.
• Prepare and maintain contract modifications, amendments, change requests, approvals, correspondence, and contract documentation.
• Ensure accuracy in ERP orders and maintain comprehensive and precise contract files.
• Monitor deliverables, funding, performance periods, delivery schedules, invoicing requirements, contractual obligations, and outstanding action items.
• Collaborate with Sales, Program Management, Finance, Engineering, Quality, Operations, Supply Chain, customers, suppliers, and other stakeholders.
• Assist with proposals, RFQs, quotes, contract performance, cost, schedule, delivery, and invoicing activities.
• Aid in proposal development, contract reviews, customer negotiations, change management, issue resolution, disputes, and contract closeout.
• Utilize Salesforce CRM for proposal, quote, and contract review activities.
• Act as a primary contact for routine customer contract inquiries and correspondence.
• Ensure adherence to customer requirements, company policies, laws and regulations, FAR/DFARS, export controls, cybersecurity, quality requirements, SAM.gov, DECCS, PIEE, and related platforms.
• Administer NDAs, Teaming Agreements, and other business agreements.
• Generate reports, track contract metrics, and provide management insight into contract status, performance, and compliance.
• Enhance contract administration processes, templates, tracking tools, workflows, policies, and standardized procedures.
• Support Vitesse Systems' goals for quality, safety, continual improvement, transparency, and collaboration.
• Bachelor's degree in Business, Finance, Legal Studies, Contract Management, or a related field; equivalent experience may also be considered.
• 2–5 years of experience in contract administration, procurement, subcontracts, legal operations, or similar business functions.
• Experience in reviewing and managing commercial and/or government contracts.
• Familiarity with DoD contracting environments and aerospace/defense customers is preferred.
• Experience with ERP systems; Global Shop Solutions experience is highly desirable.
• Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook.
• Experience with PIEE, OASIS, SAM.gov, or similar government systems is preferred.
• Acquainted with FAR, DFARS, and Uniform Contract Format is preferred.
• Strong organizational skills, attention to detail, and analytical abilities.
• Excellent verbal and written communication skills.
• Self-starter capable of working across multiple locations in a rapidly growing organization.
• Familiarity with a manufacturing setting.
• Ability to work with minimal supervision and adapt to changing demands.
• High school diploma/GED, or 2 years of related experience, or an equivalent combination of education and experience.
• Authorization to work in the United States.
• Eligibility for necessary U.S. Government export authorizations.
• Ability to comprehend basic safety and manufacturing instructions.
• Ability to perform addition and subtraction with four-place decimals and to multiply and divide by tens and hundreds.
• Capability to engage in standard and non-standard physical activities, including standing, walking, sitting, climbing, balancing, stooping, kneeling, crouching, and using hands/fingers.
• Ability to frequently lift and/or move up to 10 pounds and occasionally/frequently lift up to 50 pounds.
• Ability to perform repetitive hand/wrist activities.
• Sufficient computer skills to operate ERP and payroll time-tracking software.
• Willingness to work flexible hours and overtime, including evenings and weekends, with or without advance notice.
