Client Intake Coordinator

This is a fully remote position, open to applicants in Illinois.

📋 Description

• Access and leverage the daily report and workflow for newly initiated matters

• Evaluate newly initiated matters for adherence to Outside Counsel Guidelines

• Review and establish client/matter rates and rate levels to ensure precise billing and compliance with agreements

• Request any missing background documents or approvals from Attorneys and/or Professional Administrators

• Adjust time entries to align with updated rates/rate levels

• Confirm and modify electronically billed matter data across over 30 websites, including rates, timekeepers, and budgets

• Establish disbursement constraints/exclusions in Aderant

• Resolve rejected eBilled invoices due to rate discrepancies with Client Account teams

• Configure split billing information and billing groups for matters necessitating deductibles

• Update internal processes, systems, client contacts, attorney participation credits, and rate information in Aderant

• Examine daily system reports for rate compliance

• Provide rate information to attorneys and staff

• Assist with Intapp Terms and Outside Counsel Guidelines summary sheets

• Monitor and respond to the general Client Intake email inbox

• Support the Manager of Client Intake and manage other assigned duties

⛳️ Requirements

• Proficiency in Microsoft Excel and Word is required

• 2+ years of experience in legal billing/e-billing

• Familiarity with matter management is preferred

• Proficiency in Aderant Expert, Elite, or comparable legal billing software is preferred

• A college degree is preferred, or equivalent experience is required

• Ability to work effectively both independently and as part of a team

• Strong attention to detail

• Ability to communicate with colleagues at all levels

• Comfort with a non-routine daily workflow
