This is a fully remote position, open to applicants in Florida.
• Oversee a varied client portfolio spanning multiple jurisdictions, handling registrations, closures, notice resolutions, audits, and special projects.
• Track HCM systems and communications for actionable tasks, ensuring they are completed promptly.
• Deliver clear and consistent status updates while managing client expectations effectively.
• Establish and nurture relationships with client contacts, including executives at the C-suite level.
• Facilitate discussions on tax matters and simplify complex tax issues into clear, actionable business language.
• Register and maintain state and local payroll tax accounts, covering withholding, unemployment, paid leave, and disability accounts.
• Oversee account activations, deactivations, portal enrollments, and updates while ensuring HCM records are accurate.
• Assist with mergers, acquisitions, restructurings, and changes in FEIN/entity.
• Address payroll tax notices through case initiation, return filing, issue investigation, agency communications, abatements, payments, and amendments.
• Execute payroll tax audits and reconciliations to confirm account numbers, SUI rates, and payment and filing frequencies.
• Work with internal teams to ensure accuracy and provide exceptional client service.
• Manage client files, trackers, procedures, and team resources effectively.
• Record billable hours daily to maintain an average annual utilization rate of 85%.
• A minimum of 4 years of experience in payroll tax compliance, including registrations, notice resolutions, and audits.
• In-depth knowledge of state and local payroll tax regulations and filing schedules.
• Capability to remain updated as regulations evolve.
• Experience interacting with HR and executive leadership in a client-facing role.
• Proficiency in managing multiple client accounts and competing deadlines.
• Strong skills in organization, collaboration, and critical thinking.
• Familiarity with one or more payroll platforms, such as ADP, UKG, Paylocity, or Dayforce.
• Experience with state payroll tax agency portals is required.
• Basic to intermediate proficiency in Excel, including pivot tables and VLOOKUPs.
• Preferred: previous experience in a multi-client services environment.
• Preferred: experience with ticketing/shared inbox tools and managing queues.
