This is a fully remote position, open to applicants in New York.

📋 Description

• Act as a reliable partner to senior leadership to help progress essential priorities.

• Proactively oversee intricate calendars and address scheduling conflicts.

• Organize both virtual and in-person meetings, including agendas, materials, logistics, technology, and follow-up actions.

• Plan leadership meetings, operational reviews, off-site gatherings, and significant events.

• Create presentations suitable for executives using PowerPoint and Google Slides.

• Compose, revise, and format communications, reports, meeting materials, and executive documents.

• Monitor decisions, action items, deadlines, and necessary follow-ups.

• Arrange travel, create itineraries, and oversee expense reports.

• Equip leaders for meetings by compiling context, organizing materials, and anticipating their needs.

• Coordinate information and assist with cross-functional initiatives.

• Identify gaps and inefficiencies, proposing practical solutions.

• Utilize productivity and AI-enhanced tools to optimize workflows and efficiency.

• Independently and collaboratively support special projects.

• Manage confidential and sensitive information with sound judgment and discretion.


⛳️ Requirements

• Over 3 years of experience in supporting multiple senior executives within a complex, fast-paced environment.

• Competence in managing competing priorities and simultaneous assignments with precision, urgency, and strong follow-through.

• Advanced skills in presentation development using PowerPoint and/or Google Slides.

• Proficiency in Microsoft Office or Google Workspace, including spreadsheets and reporting tools.

• Experience with AI-enabled productivity tools in a professional setting.

• Strong written and verbal communication abilities with executives and stakeholders at all levels.

• Exceptional organizational, planning, and time-management skills.

• Keen attention to detail and the ability to link activities to broader business objectives.

• Strong judgment, professionalism, and discretion when handling confidential information.

• Comfort in adopting new technologies and quickly learning unfamiliar systems.

• Proactive, solutions-oriented mindset with a sense of ownership.

• Strong sense of accountability and consistent follow-through.

• Adaptability and composure in a rapidly evolving environment.

• Collaborative, positive attitude and readiness to contribute wherever necessary.

• Nice-to-have: experience supporting operational leaders across various markets, regions, or business functions.

• Nice-to-have: experience in a rapidly growing company, startup, or similar dynamic setting.
