This is a fully remote position, open to applicants in United Kingdom.
• Deliver exceptional administrative support to the People & Culture Team.
• Organize and document meetings for the Health & Safety and Staff Consultation Forum.
• Oversee Display Screen Equipment risk assessments.
• Manage desk and meeting room reservations for the Reading office.
• Process incoming mail and cheques, collaborating with the Finance department as necessary.
• Address and log enquiries in accordance with DofE policies and procedures.
• Coordinate annual PAT testing and keep Health & Safety records up to date.
• Handle stationery requests throughout the organization.
• Serve as the primary contact for office access and desk booking systems.
• Offer administrative assistance for Learning & Development, Equity, Inclusion, and Wellbeing initiatives.
• Organize training programs, including logistics for venues, travel, and accommodation.
• Aid in the administration and upkeep of the Learning Management System.
• Support team meetings, workshops, and events.
• Handle requests for hire cars, hotels, and travel arrangements.
• Collaborate with the Reading office landlord and external vendors.
• Manage office access passes, cleaning services, and other facility-related tasks.
• Contribute to the smooth daily operations of the Reading office.
• Robust administrative and organizational abilities with a capacity to manage diverse workloads.
• Experience in coordinating meetings, preparing agendas, and producing precise minutes.
• Excellent skills in diary and calendar management.
• Strong attention to detail with experience in maintaining records, trackers, and filing systems.
• Outstanding customer service and stakeholder management capabilities.
• Experience in arranging travel, accommodation, venues, and catering services.
• Ability to manage confidential information with professionalism and discretion.
• Proficient IT skills, including Microsoft Word, Excel, Outlook, Teams, and PowerPoint.
• Self-driven, proactive, and capable of working independently with initiative.
• Prior experience in office or facilities management is preferred.
• Knowledge of HR, People & Culture, Organizational Development, or Learning & Development settings is preferred.
• Familiarity with Learning Management Systems or training platforms is advantageous.
• Successful candidates must complete an Enhanced Disclosure and Barring Service check, including references for any gaps in employment or education.
