This is a fully remote position, open to applicants in Germany.
• Accountable for manual invoicing tasks, which include preparation, distribution, follow-up, and payment reminders.
• Inputting invoices into DATEV.
• Facilitating payments for outstanding invoices through Moss.
• Overseeing preparatory bookkeeping and liaising with the tax advisor.
• Administering Factorial, encompassing vacation requests, time tracking, and notifications of sick leave.
• Coordinating payroll accounting while communicating employee data and changes.
• Compiling monthly commission statements for the Sales team.
• Managing collections and dunning procedures.
• Planning team events, team calls, and workations.
• Delivering weekly reports directly to the Managing Director.
• Communicating and coordinating with lawyers, legal protection providers, insurers, service providers, and freelancers.
• Taking charge of projects independently, such as website initiatives.
• Reviewing and updating terms and conditions as well as data protection documentation as needed.
• Overseeing the info@ inbox and acting as the primary point of contact for legal inquiries.
• Conducting initial interviews for new operational roles.
• Organizing and preparing onboarding technically, along with managing offboarding.
• Providing technical onboarding for new employees and acting as the central point of contact for inquiries.
• Screening candidates and carrying out initial interviews for Operations hiring, as well as coordinating trial days in Sales.
• Experience in invoicing, bookkeeping, finance operations, or general business administration.
• Proficiency in DATEV.
• Background in payroll accounting and communication with tax advisors.
• Capability to independently draft and modify contracts, NDAs, and legal documents.
• Familiarity with Slack, Claude, Asana, or similar project management and communication tools, or the ability to quickly learn new software.
• Experience with a CRM, such as Close or HubSpot, is advantageous.
• Meticulous, structured, and dependable work ethic.
• Discretion when managing sensitive financial and legal matters.
• Strong organizational abilities and a passion for a wide range of responsibilities, from bookkeeping to recruitment.
