Business Systems & Technology Operations Lead

This is a fully remote position, open to applicants in United Kingdom, +2 more countries.

📋 Description

• Identify business challenges and outline workflows, handoffs, dependencies, and failure points.

• Convert business challenges into precise system requirements.

• Create operating systems, source-of-truth frameworks, workflows, forms, databases, dashboards, reporting systems, and SOPs.

• Investigate and assess technology and vendors based on business needs, cost, usability, integration, implementation effort, support, scalability, and risk.

• Configure and implement business systems directly when suitable.

• Collaborate with specialist vendors, developers, or implementation partners when advanced expertise is necessary.

• Manage data structure, mapping, migration, validation, and source-of-truth rules.

• Design and execute integrations and automation using APIs, webhooks, and no-code/low-code tools.

• Organize and conduct testing and UAT, including permissions, edge cases, failed integrations, and fallback procedures.

• Oversee rollout, user training, adoption tracking, documentation, and post-launch enhancements.

• Control the process and governance layer for company technology and business software, including SaaS inventory, licenses, system ownership, domains, hosting, Google Workspace, cloud storage, permissions, password-manager governance, and access workflows for joiners, movers, and leavers.

• Develop or coordinate reporting and dashboards that support operational decision-making.

• Transform suitable AI-assisted tasks into controlled, repeatable workflows with human QA and fallback processes.

• Systematize founder-held knowledge, meetings, transcripts, and recurring decisions into structured workflows with actions, owners, deadlines, and documentation.

• Manage and enhance file, document, and knowledge-management systems.

• Support workstreams across WMS/inventory, fulfillment and shipping, returns, ecommerce, CRM/customer service, finance and HR systems, product data, access management, BI, automation, and proprietary internal decision-making systems.

• Initially report to the Founder/CEO and collaborate with the Head of Business Operations and functional leaders.

• Demonstrated experience in successfully implementing significant business systems, beyond merely recommending tools.

• Capability to translate vague business challenges into practical, operational systems.

• Strong skills in diagnosing business processes and extracting insights from founders, managers, and subject-matter experts.

• Background in software and vendor evaluation, configuration, and implementation.

• Familiarity with integrations, automation, APIs, or webhooks.

• Experience in structured business data management, mapping, migration, and validation.

• Knowledge of UAT, QA, edge cases, and failure management.

• Understanding of permissions, access, source-of-truth, and technology administration practices.

• Experience with system rollout, user training, and driving adoption.

• Proven ability to manage external developers, vendors, or specialists while maintaining internal ownership.

• Experience implementing practical AI workflows within controlled business processes.

• Aptitude for simplifying complex processes without unnecessary complications.

• Tool-agnostic mindset focused on selecting the most straightforward effective system.

• Proficient in clear documentation and communication with non-technical stakeholders.

• Commercially aware and highly organized.

• Comfortable working across various functions.

• Emphasizes adoption and operational outcomes over technology for its own sake.

• Candidates outside the UK should be available to work significantly during UK business hours.
