This is a fully remote position, open to applicants in Colombia, +4 more countries.
• Create and manage both digital and physical client files within SharePoint.
• Properly save, name, and organize documents received via email following the firm's naming conventions.
• Enter and update case information in customized Salesforce and Docketwise platforms.
• Ensure accurate file structures are maintained across current case lists.
• Draft fundamental government immigration forms.
• Prepare exhibit lists for petitions.
• Compile notice of filing and public access file documents.
• Assist in petition assembly under the guidance of an attorney or senior paralegal.
• Send reminders, confirm receipt of documents, and keep clients informed on case status.
• Organize document collection from clients via email.
• Participate in Zoom calls with attorneys, taking notes and providing case-specific information in real time.
• Manage scheduling and respond to basic non-legal client inquiries, escalating legal questions to attorneys.
• Utilize Microsoft 365, Teams, Adobe, Salesforce, Docketwise, and SharePoint effectively.
• Employ Claude and Perplexity for drafting and research assistance.
• Adhere to the firm's training matrix and track progress.
• Adjust to platform updates, including the upcoming Docketwise transition.
• Engage in the study of immigration law using the firm's digital law library.
• Pursue self-directed learning across various visa categories.
• Monitor USCIS policy updates that pertain to active casework.
• 1–3 years of experience in administrative, operations, legal support, or office roles.
• Proficient in Microsoft 365, including Outlook, Excel, and Word.
• Skilled in Adobe Acrobat for document preparation and management.
• Practical experience with cloud-based CRM and document management systems like Salesforce, SharePoint, or similar platforms.
• Background in preparing, organizing, and reviewing documents for completeness and accuracy prior to submission.
• Experience in coordinating client communications via email and video conferencing tools like Zoom or Microsoft Teams.
• B2+ English proficiency according to CEFR for effective, client-facing written and verbal communication.
• Preferred experience in U.S. immigration law or USCIS-related matters.
• Familiarity with Docketwise, Litify, or Neos is advantageous.
• Previous experience in any area of law firm practice is preferred.
• Fluency in Spanish in addition to English is preferred.
• Experience utilizing AI tools such as Claude or Perplexity in a professional setting is preferred.
