Billing Specialist

This is a fully remote position, open to applicants in Pennsylvania.

📋 Description

• Examine invoices for precision and make updates to quantities, truck numbers, freight, and other line items.

• Handle RMAs for returned products or orders that require re-billing.

• Generate credit memos for pricing discrepancies, sales tax, and FES charges.

• Update national accounts by incorporating products for buyback-related transactions.

• Gather invoices and bills of lading and forward them to clients.

• Dispatch invoices via mail, email, or customer websites along with the necessary documentation.

• Maintain professional communication with both internal and external customers and colleagues through email and phone.

• Calculate amounts for bulk COD deliveries as required by drivers.

• Execute next-day billing for deliveries and same-day buyback billing with 99% accuracy.

• Support supervisors with special projects.

• Assist operations in understanding orders that have been picked but not yet invoiced.

• Perform additional related duties as assigned.

⛳️ Requirements

• High school diploma or GED; less than one year of related experience or training; or an equivalent combination of education and experience.

• Proficient in word processing, spreadsheet, inventory, internet, order processing, and database software.

• Capability to read and interpret safety regulations, operating and maintenance instructions, and procedural manuals.

• Competence in writing routine reports and correspondence.

• Effectiveness in speaking before groups of customers or employees.

• Ability to compute discounts, interest, commissions, proportions, percentages, area, circumference, and volume.

• Proficiency in applying basic algebra and geometry.

• Skill in solving practical problems and interpreting written, oral, diagrammatic, or schedule instructions.

• Ability to work with minimal supervision.

• Capacity to occasionally lift and/or move up to 20 pounds.

• Flexibility to work a variable schedule and occasional overtime.

• Experience with a dual-monitor setup is an advantage.
