This is a fully remote position, open to applicants in United States.
• Assess service work orders in Acumatica to ensure they are complete and accurate, and generate invoices based on customer contracts and specifications.
• Detect and investigate discrepancies, collaborating with managers and technicians to gather necessary documentation for billing.
• Input cost and billing adjustments when data is absent, erroneous, or modified by the approving Service Manager.
• Generate new opportunities or leads from work order notes that highlight additional field-identified prospects.
• Guarantee that precise work order details are submitted to the Service Manager for approval and to Finance for processing and distribution.
• Offer ongoing improvement suggestions to the Service Manager concerning process or work order deficiencies and challenges.
• Address customer billing inquiries via phone and email.
• Access historical invoices and work order information for management or customer requests.
• Assist the Customer Service team and other Service Biller functions as required.
• Adhere to standard practices and procedures while proposing enhancements.
• Maintain the quality of work and data within ServiceTitan.
• Examine daily job logs for incomplete and missed calls, as well as work orders needing billing.
• Dispatch and submit invoices via email, customer portal, and postal mail.
• Act as the primary contact for customers following the completion of on-site work.
• Education and/or experience comparable to a high school diploma.
• 2–3 years of pertinent experience in billing/invoicing for time and materials projects or work.
• Experience in Construction, Field Services, HVAC, or Home Security sectors is preferred.
• Proficient in reading, writing, and communicating effectively and professionally.
• Possess active listening skills and the ability to exhibit empathy.
• Capable of presenting information and responding to inquiries in a courteous and helpful manner.
• Customer-oriented with a focus on enhancing the customer experience and a “can do” mindset.
• Ability to interact effectively at all levels and across diverse cultural backgrounds.
• Competent in performing basic arithmetic using standard units of measure and weight.
• Able to apply common sense and execute simple written, oral, or diagram-based instructions.
• Capable of following instructions and managing issues involving multiple concrete variables in standardized scenarios.
• Solutions-oriented and adept at tracking and prioritizing tasks in a fast-paced environment with concurrent projects.
• Able to thoroughly and completely follow given instructions.
• Can work with minimal supervision.
• Skilled in word processing/data entry, spreadsheets, internet usage, and email.
• Advanced proficiency in Microsoft Office.
