This is a fully remote position, open to applicants in United States.
• Manage all components of the firm's client billing process.
• Generate weekly, quarterly, and year-end reports for both clients and team members.
• Implement billing guidelines, fee schedules, processes, and systems specific to the firm, practice group, and clients.
• Collaborate with attorneys during the billing cycle, which includes reviewing, distributing, and modifying prebills.
• Create bills, e-bills, letters, and summaries of discounts.
• Initiate and request CIMS as necessary.
• Monitor accounts receivable, inform attorneys of balances, and follow up with clients who have overdue payments.
• Work alongside the Accounts Receivable Manager/team as required.
• Ensure the accuracy of client billing information, rates, tax codes, and activity codes.
• Review and validate billing and supporting documentation.
• Dispatch invoices to clients via email, postal mail, or e-billing.
• Address client billing inquiries by investigating issues, taking necessary actions, collaborating with attorneys, and providing prompt responses.
• Bachelor's degree from an accredited institution is preferred; a combination of an Associate's degree and relevant work experience will be considered.
• Three to five years of experience in client billing within a similarly sized, multi-office professional services organization.
• Previous experience in patent prosecution billing is highly desirable.
• Background in a large law firm is a plus.
• Excellent interpersonal, written, and verbal communication abilities.
• Demonstrated analytical and problem-solving skills.
• Detail-oriented and organized, with the capacity to read, analyze, and process intricate bills.
• Competence in multitasking and prioritizing workloads effectively.
• Ability to articulate ideas in business-friendly and user-friendly terms.
• Strong computer skills and proficiency in MS Office Suite.
• Proficient in Outlook and possess advanced knowledge of Excel.
• Maintain discretion when handling confidential information.
• Familiarity with the chart of accounts.
• Strong proofreading capabilities.
• Experience with Aderant or comparable timekeeping software is highly preferred.
