This is a fully remote position, open to applicants in Nicaragua, +5 more countries.
• Manage a high volume of incoming and outgoing patient calls in both English and Spanish.
• Address general patient inquiries and offer front-office assistance.
• Accurately take messages and direct clinical questions to the relevant licensed provider or team member.
• Document patient interactions meticulously in Tebra.
• Coordinate new and follow-up patient appointments.
• Oversee provider schedules and appointment availability.
• Handle appointment confirmations, cancellations, rescheduling, and follow-ups.
• Actively follow up with patients to minimize no-show rates.
• Submit and monitor prior authorization requests for medications, procedures, and imaging.
• Liaise with insurance companies regarding pending authorization requests.
• Communicate the status of authorizations and any outstanding requirements to providers and patients.
• Verify patient eligibility, benefits, copays, deductibles, coverage, and referral prerequisites.
• Update insurance details and documentation in Tebra.
• Receive, document, and process medication refill requests in accordance with practice protocols.
• Proactively reach out to patients regarding unresolved administrative matters.
• Manage email and inbox communications effectively.
• Update patient demographics and administrative records.
• Provide general administrative support for front-office operations.
• Follow up on pending issues until resolved or appropriately escalated.
• Ensure a warm, professional, and compassionate experience for patients as their first contact.
• Serve as a proactive extension of the medical practice's front-office team.
• Minimum of 2 years of experience in supporting a U.S.-based medical practice.
• Prior experience as a medical receptionist, at a medical front desk, as a patient coordinator, or in medical administration.
• Bilingual proficiency in English and Spanish is essential.
• Excellent, clear, and professional spoken English skills.
• Strong experience with inbound and outbound phone communications.
• Hands-on experience with scheduling appointments.
• Familiarity with insurance eligibility and benefits verification processes.
• Experience in managing prior authorizations.
• Solid understanding of HIPAA regulations and patient confidentiality.
• Exceptional attention to detail and documentation capabilities.
• Ability to work autonomously in a remote setting.
• Strong organizational skills and follow-up capabilities.
• Experience with Tebra is highly preferred.
• Preference for female candidates.
• Prior experience handling medication refill requests is strongly preferred.
• Experience in a high-volume or multi-provider medical practice is highly preferred.
• Referral coordination experience is strongly preferred.
• Direct communication experience with insurance carriers is strongly preferred.
• Experience as a Virtual Medical Assistant or Virtual Medical Receptionist is strongly preferred.
• Full-time contractor role (40 hours per week).
• Competitive pay rate negotiable based on skills and experience.

• Work schedule from Monday to Thursday: 8:00 AM–5:00 PM CST.
• Friday work hours: 8:00 AM–12:00 PM CST.
• One Saturday per month required.
