This is a fully remote position, open to applicants in Nicaragua, +5 more countries.
• Manage a high volume of inbound and outbound patient communications, encompassing scheduling, addressing general inquiries, follow-ups, and message-taking.
• Arrange appointments for both new and returning patients, including confirming, rescheduling, recalling, and reactivating inactive patients.
• Deliver a welcoming, professional, and patient-centered experience in every interaction.
• Address challenging or upset patients with composure and professionalism, escalating issues when necessary.
• Confirm dental insurance eligibility and benefits, including coverage details, deductibles, annual maximums, limitations, and other pertinent benefits.
• Assist with prior authorizations and pre-treatment estimates, which involves gathering documentation, following up with insurance providers, and tracking requests.
• Ensure accurate maintenance of patient records in Eaglesoft, including demographics, insurance details, notes, and documentation.
• Keep patient data and administrative records precise and current.
• Offer general front-office administrative assistance to alleviate the workload of the in-office team.
• Coordinate with the dental team regarding patient needs, scheduling challenges, insurance inquiries, and follow-ups.
• Minimum of 2 years of U.S.-based dental practice experience.
• Prior experience as a Dental Receptionist, Front Desk Coordinator, Patient Coordinator, or a similar role in a dental front office.
• Bilingual proficiency in English and Spanish is essential.
• Extensive experience in managing inbound and outbound phone calls.
• Practical experience in dental appointment scheduling.
• Familiarity with verifying dental insurance eligibility and benefits.
• Experience in managing prior authorizations and/or pre-treatment estimates.
• Excellent spoken English with a professional, friendly, and confident phone demeanor.
• Strong customer service and communication abilities.
• Capability to remain calm, patient, and professional in handling demanding or frustrated patients.
• Keen attention to detail and the ability to accurately document patient and insurance information.
• Ability to work independently in a remote setting while maintaining reliable communication with the dental team.
• Experience with Eaglesoft is preferred.
• Preferred experience in patient recall and reactivation.
• Experience in a busy, multi-provider dental practice is preferred.
• Prior experience as a Virtual Dental Assistant (VDA/VMA) is preferred.
• Experience managing a high volume of calls and patient interactions is preferred.
• Familiarity with U.S. dental insurance processes is preferred.
• Full-time contractor role (40 hours per week).
• Negotiable salary based on skills and experience.
