This is a fully remote position, open to applicants in Utah.

📋 Description

• Act as the primary point of contact for potential clients and families by responding to incoming phone inquiries.

• Oversee the new client intake process from the initial inquiry through to admission.

• Coordinate calls, referrals, and intakes for Spanish-speaking clients.

• Monitor and follow up on referrals, online inquiries, and leads from prospective clients.

• Gather, verify, and follow up on insurance details, required signatures, referrals, and physician documentation.

• Work collaboratively with provider offices to secure the necessary records and documentation to commence services.

• Maintain precise documentation using Google Workspace, Lumary, TherapyNotes, HiRasmus, and RingCentral.

• Ensure that client documentation and communications adhere to HIPAA regulations and confidentiality standards.

• Collaborate with clinical, operational, and administrative teams to streamline intake, onboarding, and transitions into services.

• Translate documents and communications for Spanish-speaking families as required.

• Identify and propose enhancements to the client onboarding process and contribute to continuous improvement initiatives.

• High School Diploma or equivalent qualification.

• Strong organizational abilities and attention to detail.

• Empathetic and client-focused approach.

• Clear and compassionate communication skills with families.

• Capability to manage sensitive information with discretion and sound judgment.

• Comfortable with learning and adapting to new and evolving software platforms.

• Ability to juggle multiple priorities and adapt to changing demands in a fast-paced environment.

• Reliable internet and telephone connectivity while working remotely.

• Proficient in effective communication in person, over the phone, and through electronic means.

• Previous experience in a behavioral health, mental health, or healthcare administrative support role is preferred.

• Familiarity with HIPAA regulations and best practices for managing protected health information is preferred.

• Experience collaborating across interdisciplinary teams is preferred.
