This is a fully remote position, open to applicants in California.
• Deliver direct administrative assistance to the Finance leadership team and corporate headquarters.
• Oversee calendar management, travel arrangements, confidential tasks, data entry, and financial reporting.
• Execute data entry, compile reports, manage project timelines, and track action items for significant financial projects.
• Create and sustain finance reporting packages to monitor and communicate financial performance/results.
• Provide office management support for Finance leadership, headquarters teams, and other executives.
• Collaborate with Administrative Assistants on cross-functional initiatives and projects.
• Assist with employee onboarding and orientation, provide basic technology support, and cover receptionist/front-desk duties as needed.
• Organize and coordinate conferences, networking events, team meetings, training sessions, onboarding activities, and departmental gatherings.
• Develop agendas, coordinate travel logistics, arrange venues, and manage supplies and equipment.
• Handle purchase requisitions and approvals via the Coupa system.
• Process and monitor invoices, including those for sponsorships, shipping costs, and vendor payments.
• Offer additional support for ad hoc projects and assigned tasks.
• A High School diploma or GED is mandatory.
• At least 3 years of experience assisting executive-level leaders as an Administrative Assistant or in financial data entry or compiling roles is required.
• Willingness to travel up to 5%.
• Exceptional oral and written communication skills.
• Ability to handle confidential information and situations discreetly.
• Strong attention to detail.
• Proactive approach with sound judgment.
• Capable of multitasking, prioritizing, and working within deadlines.
• Basic finance knowledge with the ability to compile data when provided with direction.
• Quick learner with a desire to acquire new skills.
• Intermediate to advanced proficiency in Microsoft Office applications (Word, PowerPoint, Excel, Outlook), Data Tracker, Visio, Corel Draw, and Adobe.
• Familiarity with basic financial concepts is advantageous.
• An Associate degree (or equivalent) in Business Administration or a related field is preferred.
• Previous experience in the food service and/or manufacturing industry is preferred.
