This is a fully remote position, open to applicants in Philippines.
• Review invoices related to accounts payable that are assisted by AI, ensuring the accuracy of coding, vendor details, amounts, GST/PST, purchase orders, subcontractor numbers, project/job identifiers, and accompanying documentation.
• Acquire necessary documentation and approvals prior to processing payments.
• Handle subcontractor invoices, taking into account holdbacks, statutory obligations, and WCB clearances.
• Address vendor inquiries and resolve discrepancies related to accounts, payment queries, and statement concerns.
• Prepare and assess accounts payable aging reports, following up on overdue invoices, imminent payments, discrepancies, and additional items.
• Enhance the precision, timeliness, and efficiency of accounts payable reporting.
• Process employee expense reimbursement requests and verify the supporting documentation, coding, approvals, and adherence to policies.
• Conduct monthly reconciliations of credit card statements and pursue missing receipts or documentation.
• Aid in the implementation, testing, and deployment of AI and accounting software.
• Compile PDFs for employee expense reimbursements and input them into the Jonas system.
• Reconcile employee credit card statements, coding and posting credit card transactions and their clearing.
• Ensure that all necessary payable documentation is available, including statutory declarations for holdback release invoices.
• Manage the accounts payable email inbox.
• Keep digital files and records well-organized.
• Safeguard the confidentiality of information managed in this role.
• Advocate for and protect the company's interests in dealings with suppliers and subcontractors.
• Engage in ongoing process improvement initiatives.
• Execute general office administration tasks and other accounting-related responsibilities as assigned.
• A minimum of 2 years of relevant experience in Accounts Payable.
• Exceptional attention to detail, organization, and accuracy.
• Solid understanding of fundamental accounting principles.
• Strong communication, problem-solving, and time management abilities.
• Proficient in using accounting software and Microsoft Excel.
• Capacity to learn and adapt to new technologies and systems.
• A keen interest in AI, automation, and process enhancement.
• Ability to critically evaluate AI-generated or AI-processed data and exercise sound judgment.
• Experience in construction and Canadian business is advantageous.
• An accounting diploma is preferred but not mandatory.
• Availability to work Monday to Friday, from 8:00 AM to 5:00 PM Pacific Time / 11:00 PM to 8:00 AM Philippine Time, including a one-hour lunch break.
