This is a fully remote position, open to applicants in United States.
• Act as the primary point of contact for designated client projects.
• Ensure quality control for materials and deliverables for clients.
• Initiate and synchronize creative brief details between clients and internal teams.
• Manage expectations for both internal and external clients.
• Establish best-practice quality control protocols for project teams.
• Organize and engage in content planning meetings with key personnel and content experts.
• Oversee and execute individual client project assignments.
• Facilitate medical-legal-regulatory review processes, including the uploading, tagging, and linking of documents.
• Serve as a subject matter expert on client strategies and deliverables.
• Create timelines and communicate milestones with the Project Management team.
• Implement projects in accordance with timelines and budgets while managing the internal team.
• Identify potential project issues and proactively notify the team.
• Take comprehensive notes during client meetings, prepare contact reports, and summarize next steps.
• Ensure project materials are accessible for both internal and external client meetings.
• Contribute to client proposals, budgeting, and reconciliations.
• Monitor direct and labor costs, flagging any out-of-scope items.
• Assist in generating financial and forecasting reports.
• Provide standard and tailored status and financial reports to clients.
• Participate in internal meetings with client services, meeting services, traffic, and other personnel.
• Bachelor’s degree in marketing, advertising, communications, or a related field.
• Minimum of one year of experience as an Assistant Account Executive or Account Executive in the advertising, marketing, communication, or related sectors.
• Proficient in Microsoft Word, Excel, PowerPoint, and Outlook.
• Willingness to travel up to 5% as needed.
• Experience in medical communications or the healthcare industry is advantageous.
• Familiarity with writing Statements of Work (SOWs) and project briefs, along with the ability to assist in the development of strategic documents, is preferred but not mandatory.
