This is a fully remote position, open to applicants in United States.
• Provide both technical and administrative assistance to field and operations personnel.
• Facilitate the setup of assignments, communication, scheduling, coordination, preparation, and completion of project-related tasks.
• Report findings from projects to clients and/or management.
• Coordinate schedules and communicate with vendors, clients, and both internal and external teams.
• Create reports that outline project progress, challenges, and solutions for stakeholders.
• Monitor data using web-based project management tools.
• Receive and distribute Client Supplied Material (CSM).
• Contact municipal departments to gather project information.
• Undertake special projects assigned by the leadership team.
• Identify opportunities to enhance efficiency and technological solutions.
• Uphold the confidentiality of company information.
• Provide prompt and proactive customer service.
• Adhere to documented policies, Standard Operating Procedures, and Work Instructions.
• Keep a safe and organized work area.
• Conduct document research of materials supplied by clients.
• Submit and monitor check requests for municipal data and information.
• Track and obtain outstanding municipal data and information for zoning and SIR reports.
• Assist the RFP Team by processing or acquiring FLEX IDs for onboarding new vendors.
• Compose technical zoning reports and SIRs based on information collected by municipal researchers.
• Communicate necessary information for report completion and anticipated delays to stakeholders.
• Revise reports upon receiving additional municipal information after delivery.
• Provide zoning-related information to clients verbally or electronically.
• Lead responses to client inquiries and requests regarding zoning reports following delivery.
• Delegate follow-up instructions as needed to resolve client concerns.
• Identify and relay workflow efficiencies.
• May be required to work overtime with prior approval from a supervisor.
• Travel as required based on essential duties and responsibilities.
• A high school diploma or General Education Diploma (GED) is required.
• A minimum of two years of experience in an administrative role is necessary.
• Capability to read, analyze, and interpret project or technical documents, procedures, or governmental regulations.
• Proficiency in writing reports, business correspondence, and procedural manuals.
• Ability to present information and address questions from clients, colleagues, and technical field staff.
• Skill in identifying problems, gathering data, establishing facts, and drawing valid conclusions.
• Ability to interpret technical instructions and manage both abstract and concrete variables.
• Competency in using computers, word processing software, spreadsheet software, and project management software.
• Strong time management skills.
