This is a fully remote position, open to applicants in United States.
• Offer both technical and administrative assistance to field and operations personnel.
• Facilitate assignment setup, communication, scheduling, coordination, preparation, and the fulfillment of project tasks.
• Present findings to clients and/or management.
• Coordinate timelines with vendors, clients, and both internal and external teams.
• Create reports on project progress, challenges, and proposed solutions for stakeholders.
• Monitor data using web-based project management platforms.
• Receive and distribute Client Supplied Material (CSM).
• Reach out to municipal departments for project-related information.
• Conduct document research on client-supplied materials.
• Submit and monitor check requests for municipal data and information essential for zoning tasks and site-investigation reports.
• Track and acquire outstanding municipal data and information.
• Provide adaptable support to the RFP Team for processing and securing FLEX IDs during the onboarding of new vendors.
• Compose technical zoning reports and SIRs utilizing information gathered by municipal researchers.
• Relay necessary information for report completion and anticipated delays to stakeholders.
• Execute report revisions when additional municipal information is received post-delivery.
• Deliver zoning-related information directly to clients both verbally and electronically.
• Lead responses to client inquiries and requests concerning zoning reports following delivery.
• Identify and communicate opportunities for workflow efficiencies.
• Provide timely and proactive customer service.
• Uphold the confidentiality of company information.
• Adhere to relevant policies, SOPs, work instructions, and quality standards.
• May require overtime with prior approval from the supervisor.
• No specific supervisory responsibilities are included.
• A high school diploma or General Education Diploma (GED) is necessary.
• At least two years of experience in an administrative role is required.
• Capability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations.
• Proficiency in writing reports, business correspondence, and procedural manuals.
• Ability to effectively present information and address inquiries from clients, peers, and technical field staff.
• Skill in defining problems, collecting data, establishing facts, and drawing valid conclusions.
• Competence in interpreting technical instructions and handling both abstract and concrete variables.
• Proficient in computer usage, including word processing software, spreadsheet software, and project management software.
• Strong time management abilities.
• Active listening skills are essential.
• Critical thinking and problem-solving skills are required.
• Excellent oral and written communication skills.
• Ability to motivate, develop, and guide individuals.
• Capacity to work independently as well as in a team setting.
• Ability to maintain a constant state of alertness and work safely.
• Must possess a cell phone and provide your own internet service.
