This is a fully remote position, open to applicants in United States.
• Provide technical and administrative assistance to field and operational personnel.
• Facilitate assignment, setup, communication, scheduling, coordination, preparation, and execution of project tasks.
• Report project outcomes to clients and/or management.
• Coordinate schedules with vendors, clients, and both internal and external teams.
• Create reports outlining project progress, challenges, and solutions.
• Monitor data using web-based project management tools.
• Manage the receipt and distribution of Client Supplied Material (CSM).
• Reach out to municipal departments for project-related information.
• Undertake special projects as assigned by the leadership team.
• Identify opportunities to enhance efficiency and technological solutions.
• Safeguard confidential company information.
• Provide timely and proactive customer service.
• Adhere to documented policies, Standard Operating Procedures, Work Instructions, and BV quality standards.
• Maintain a safe and organized work environment.
• Work overtime with prior supervisor approval when necessary.
• Conduct document research on client-supplied materials.
• Submit and monitor check requests for municipal data/information required for zoning and site-investigation reports.
• Track and acquire pending municipal data/information.
• Assist the RFP Team by processing/obtaining FLEX IDs for new vendors.
• Compose technical zoning reports and SIRs based on municipal research.
• Communicate report requirements and anticipated delays to stakeholders.
• Revise reports when additional municipal information is received after delivery.
• Provide zoning-related information to clients both verbally and electronically.
• Lead responses to post-delivery client inquiries and requests regarding zoning reports.
• Delegate follow-up instructions to resolve client issues.
• Identify and relay workflow efficiencies.
• High school diploma or General Education Diploma (GED) is required.
• Some college education is preferred.
• A minimum of two years of administrative experience is required.
• Ability to read, analyze, and interpret project/technical documents, technical procedures, or governmental regulations.
• Capability to write reports, business correspondence, and procedure manuals.
• Ability to present information and address questions from clients, peers, and technical field staff.
• Ability to define problems, collect data, establish facts, and draw valid conclusions.
• Ability to interpret technical instructions and manage both abstract and concrete variables.
• Proficiency in operating a computer.
• Familiarity with word processing, spreadsheet, and project management software.
• Strong time management skills.
