This is a fully remote position, open to applicants in Philippines.
• Professionally and promptly respond to a high volume of inbound patient calls.
• Accurately and timely address patient messages via texts, voicemails, emails, and faxes.
• Schedule appointments for new patients and gather comprehensive intake information.
• Manage scheduling tasks such as confirming, canceling, and rescheduling existing patient appointments in MacPractice.
• Give priority to new patient inquiries and referral opportunities over routine rescheduling requests.
• Perform follow-up outreach to reactivate inactive or lapsed patients.
• Convert patient inquiries into scheduled appointments.
• Maintain precise patient records, scheduling notes, and documentation of communications.
• Collaborate with in-office staff to ensure the provider's schedule is organized and full.
• Address and resolve patient concerns related to scheduling, billing confusion, insurance inquiries, or unexpected issues.
• Actively listen to patients, collect relevant details, offer callbacks when suitable, and avoid overwhelming them with unnecessary information.
• Assist with missed-call follow-up processes and enhance internal communication within Weave.
• Safeguard patient privacy and adhere to HIPAA regulations.
• Exceptional spoken English with a clear, neutral accent that is easy to understand.
• Strong writing skills for SMS, email, and patient-facing communications.
• Previous experience in roles such as Virtual Medical Assistant, Medical Receptionist, Patient Communication Specialist, Front Desk Coordinator, or other healthcare support positions.
• Comfortable managing high call volumes in a dynamic clinic setting.
• Demonstrated patient service orientation, emotional intelligence, and practical judgment.
• Ability to multitask effectively across calls, texts, emails, voicemails, faxes, and scheduling activities.
• Dependable, punctual, and proactive regarding attendance communication.
• Must have access to and work from a Mac OS device, such as a MacBook, iMac, or Mac mini.
• Must possess reliable high-speed wired internet (LAN) connectivity.
• Flexibility with scheduling is required, including the potential to work on Saturdays if necessary.
• Preferred: Familiarity with MacPractice, Weave, Solutionreach, Podium, or other healthcare communication tools.
• Preferred: Knowledge of chiropractic terminology, treatment plans, and recurring visit schedules.
• Preferred: Experience with patient reactivation, new patient conversion, and optimizing provider schedules.
• Preferred: Previous experience supporting healthcare clinics in the U.S.
• Performance-based salary increase after 6 months.
