This is a fully remote position, open to applicants in Philippines.
• Manage and facilitate weekly payroll and supplier invoices across construction and development entities, ensuring compliance with Australian payroll deadlines accurately and punctually.
• Gather, follow up, and reconcile weekly site timesheets/daycards.
• Prepare and send client invoices using Xero.
• Take responsibility for accounts receivable follow-up and maintain control over AR aging.
• Assist with bank reconciliations, month-end activities, and maintain precise financial records in Xero.
• Develop cashflow forecasts in Microsoft Excel for up to 18 months based on anticipated construction program expenses.
• Hold weekly meetings with the Director to discuss expenditure, anticipated expenditures, and cashflow.
• Monitor construction and development expenses, updating computer systems on a weekly basis.
• Oversee insurance administration, including renewals, certificates of currency, and claims documentation.
• Provide support to two Directors with calendar management, emails, and administrative tasks.
• Track and renew group compliance and licenses.
• Assist with worker onboarding and induction processes.
• Maintain documentation and compliance records for subcontractors and suppliers.
• Coordinate immigration/sponsorship documentation and related staff paperwork.
• Manage recurring orders and logistics for uniforms/PPE, tools, and office/site supplies.
• Organize inbox, calendar, and document filing for the Managing Director and state managers.
• Arrange meetings and travel logistics.
• Undertake ad hoc administrative projects and enhance workflows through the use of AI tools like Claude.
• Draft and revise construction contracts with suppliers as per Directors’ directives.
• Establish and implement AI systems for improved business efficiency and integration.
• Candidate must be based in the Philippines.
• Prior experience in finance, accounting, or bookkeeping with an Australian business is required.
• Strong understanding of Australian accounting and tax regulations.
• Proficient in written and spoken English, capable of professional verbal communication with staff, clients, and suppliers.
• Highly organized and dependable, able to manage repetitive but essential processes and balance competing priorities across three businesses with minimal oversight.
• Proficient with Microsoft Office and cloud-based business solutions.
• Quick to learn new software systems and open to working on various tasks and computer platforms.
• Must disclose any ongoing roles or client engagements.
• Must represent this engagement on LinkedIn profile, clearly labeled as “Independent Contractor.”
• 100% remote work from home.
• Flexibility in time management as an independent contractor.
• Alignment with Australian business hours for collaboration (approximately 8 AM–4 PM, Monday to Friday).
