This is a fully remote position, open to applicants in United States.
• Provide administrative assistance to the SCOPE Director, which includes dictating notes and tasks, organizing and labeling emails, maintaining task management systems, overseeing the director’s calendar, attending meetings for note-taking and task management, updating the weekly team metrics spreadsheet, collecting and submitting receipts, sending reminders, and preparing for/attending weekly SCOPE team meetings.
• Plan and participate in the January team retreat, which entails collaborating on agendas, booking venues and travel arrangements, coordinating meals and activities, and preparing necessary materials.
• Liaise with other SURJ departments regarding administrative inquiries and activities.
• Maintain organizational systems for the SCOPE and Grassroots Organizing teams to monitor progress towards objectives and demonstrate team impact.
• Assist in the coordination of campaigns and events through team meetings.
• Support departmental responsibilities in organization-wide initiatives such as drive optimization.
• Collaborate with peers and colleagues on projects like metrics tracking, team gatherings, and lobbying coordination.
• Communicate proactively with the supervisor about workload, priorities, and any schedule changes.
• Regularly meet with the supervisor to formulate work plans, establish goals, and track progress.
• Ensure accurate maintenance of work schedules and calendars.
• Complete timesheets and monitor leave in required systems.
• Foster a culture of direct, respectful feedback that emphasizes kindness.
• A minimum of 2 years of relevant experience as a remote team operations coordinator, executive assistant, administrative assistant, or in a similar role (nonprofit experience preferred).
• At least 1 year of experience in coordinating event logistics.
• Proficient in Google Workspace, including drive file management, spreadsheets, and forms.
• Strong organizational and customer service abilities.
• Willingness to travel occasionally to support logistics for in-person gatherings, such as staff retreats, trainings, or campaign actions.
• Ability to comply with SURJ’s policies, including COVID-19 vaccination requirements (subject to applicable accommodations).
• Must meet driving policy requirements to fulfill all minimum qualifications for this role.
• Experience managing complex and dynamic scheduling needs.
• Proven track record of effectively collaborating with a director-level supervisor, including the ability to provide recommendations and direct feedback.
• Experience working remotely and collaborating with geographically dispersed teams.
• Familiarity with or experience in racial justice or community organizing work is preferred.
• Excellent interpersonal skills with the ability to build relationships across diverse backgrounds.
• Strong writing capabilities, including proofreading and editing, with experience drafting professional communications from verbal instructions or rough notes.
• High attention to detail and accuracy.
• Effective time management and organizational skills.
• Ability to process verbally communicated information and execute assigned tasks.
• Skilled in estimating timelines and meeting deadlines.
• Capable of managing complex tasks, projects, and priorities with minimal supervision.
