This is a fully remote position, open to applicants in Philippines.
• Assist the Handover team with project administration, coordination, and delivery tasks.
• Ensure precise project records, documentation, and audit trails are maintained using Jira, CRM systems, reports, and dashboards.
• Support Senior Technical Handover Success Managers with daily project administration, coordination, and follow-up activities.
• Aid in the onboarding of suppliers and subcontractors, including the collection of documentation, follow-ups, and system assistance.
• Collaborate with suppliers, subcontractors, and internal stakeholders to facilitate project advancement.
• Raise and follow up on issues related to projects, documentation, or onboarding processes.
• Organize project meetings, prepare agendas, document minutes, and distribute action items.
• Assist in quality assurance processes to ensure that documentation adheres to project standards.
• Contribute to process enhancements and preventative strategies to improve project delivery results.
• Fulfill assigned CRM and administrative responsibilities while supporting team KPIs and delivery objectives.
• Work alongside project teams to ensure efficient and successful project execution.
• Undertake additional duties as required.
• A degree in Architecture, Engineering, Construction Management, or a related technical field is required.
• Prior experience in project administration, construction administration, technical administration, handover documentation, office administration, or a comparable support role.
• Experience in a construction, engineering, architecture, building, or technical project environment is highly valued.
• Excellent organisational skills with the capability to manage multiple tasks and priorities.
• Strong attention to detail in documentation, data entry, client communications, meeting minutes, and project records.
• Proficient in Jira, CRM systems, Microsoft Office Suite, and other project management or task-tracking applications.
• Effective communication skills with internal project teams, suppliers, subcontractors, and external stakeholders.
• Strong written English proficiency.
• Proactive problem-solving skills, including the ability to identify, escalate, and follow up on issues.
• Capability to adhere to quality standards, project procedures, documentation requirements, and established workflows.
• Comfortable operating under deadlines, KPIs, and competing priorities.
• A collaborative and dependable approach to administrative support.
• Must be available to work mid-shift from 5:00 PM to 2:00 AM PHT.
• Work from home.
• Monday to Friday; weekends off.
