This is a fully remote position, open to applicants in United States.
• Assist in the daily recruiting and hiring processes under the guidance of the Operations Manager and in collaboration with hiring managers.
• Revise job postings in the HRIS to align with approved job descriptions and position requirements.
• Publish and oversee open positions across authorized recruiting platforms and company channels.
• Evaluate applications and resumes against predefined qualifications and screening criteria.
• Conduct initial video screenings of candidates utilizing established interview guides and evaluation criteria.
• Record screening outcomes and deliver structured candidate recommendations to hiring managers.
• Organize complex interview schedules across various time zones and maintain communication with candidates.
• Monitor interview feedback and candidate progress within the HRIS.
• Ensure timely and professional communications with candidates throughout the recruitment process.
• Facilitate background checks, necessary documentation, and other pre-employment tasks.
• Prepare and forward approved offer letters and hiring documentation.
• Keep precise applicant and recruitment records.
• Track recruiting activities and assist in reporting on positions, pipelines, time-to-hire, and recruitment metrics.
• Identify chances to enhance recruiting workflows, administrative efficiency, and candidate experience.
• Manage employee onboarding and offboarding processes.
• Maintain employee policies, handbooks, procedures, job aids, templates, HR records, and compliance trackers.
• Perform HRIS administrative duties, including updating employee data, reporting, workflow monitoring, and basic troubleshooting.
• Aid in testing and implementing HRIS workflows, automations, and system updates.
• Assign and refresh LMS training, onboarding, compliance courses, and learning materials.
• Track training completion, maintain training records, generate reports, and follow up on pending training.
• Organize training sessions, meetings, learning initiatives, and employee development programs.
• Maintain operational documentation, trackers, templates, and recurring processes.
• Assist in reporting and data collection across recruiting, onboarding, training, HR administration, and Operations.
• Identify inefficiencies and support approved process enhancements and operational initiatives.
• Assist with company events, special projects, and additional Operations responsibilities as assigned.
• Associate or Bachelor’s degree in Business Administration, Human Resources, Operations, or a related field, or equivalent relevant professional experience.
• Approximately 2+ years of experience in supporting recruiting, candidate screening, or interview coordination in a healthcare organization or healthcare consulting services.
• Proven experience in facilitating recruiting processes, including candidate screening and interviews.
• Adept in a fast-paced environment.
• Exceptional organizational, communication, and judgment abilities.
• Skilled in coordinating multiple processes, deadlines, and stakeholders concurrently.
• Strong written and verbal communication skills.
• High attention to detail and dedication to maintaining accurate records.
• Capability to manage confidential employee and candidate information with professionalism and discretion.
• Excellent organizational, follow-up, and time-management skills.
• Proficient in Microsoft Office and Microsoft 365 applications.
• Ability to learn and effectively utilize HR, recruiting, training, and other business systems.
• Capable of working independently within established processes while recognizing when issues need escalation.
• Experience with an HRIS, applicant tracking system (ATS), and Learning Management System (LMS).
• Background in consulting, healthcare, healthcare IT, or professional services.
• Proven success in building relationships.
• Willingness to travel locally, nationally, and/or internationally as needed.
• Preferred: Experience with Rippling HRIS.
• Preferred: Familiarity with Adobe Captivate.
• Preferred: Background in supporting employee onboarding and offboarding.
• Preferred: Experience working in a remote or distributed organization.
