Software Asset Manager

This is a fully remote position, open to applicants in Ukraine.

📋 Description

• Maintain an accurate, real-time inventory of all software assets, including license pools, assignments, and usage.

• Oversee the complete license lifecycle, encompassing provisioning, transferring, and revoking licenses.

• Ensure software asset records are aligned with ITSM requests.

• Reconcile monthly software expenditures against active licenses and invoices.

• Generate clear reports for the Finance team.

• Identify unused licenses and redundant plans through routine usage audits.

• Reallocate resources or negotiate plan downgrades as needed.

• Actively manage the renewal calendar by coordinating with Finance and Project Leads 60–90 days prior to contract expirations.

• Monitor seat limits and streamline procurement workflows in anticipation of demand.

• Serve as the main point of contact for vendors regarding licensing terms and audits.

• Collaborate with stakeholders to promote software standardization and tool consolidation.

• Ensure that project environments comply with security policies and licensing requirements.

• Provide transparent reporting on budget utilization and forecasting.

⛳️ Requirements

• Demonstrated experience with SAM tools or ITSM asset management modules such as ServiceNow, Freshservice, or Snow Software.

• Strong expertise in budget reconciliation, expense auditing, and cost-allocation modeling.

• Thorough understanding of intricate licensing models, ranging from SaaS per-user plans to node-locked or concurrent licensing.

• Advanced skills in Excel or BI tools for reporting, pivot tables, and cost analysis.

• Exceptional negotiation abilities with a diplomatic approach to facilitating tool consolidation and managing vendor relationships.

• Keen attention to detail, capable of handling hundreds of invoices and over 90 applications simultaneously.

• Familiarity with low-code tools like n8n or Okta Workflows, or scripting languages such as Python or PowerShell is advantageous for automating license tracking.

• Capability to balance stringent compliance requirements with the dynamic needs of various project teams.

• Experience with ITIL v4 asset management practices is a plus.

• Previous exposure to a high-growth startup or multi-client project environment is beneficial.

• Professional certifications related to software asset management or IT procurement are advantageous.
