This is a fully remote position, open to applicants in United States.
• Oversee health and welfare programs, encompassing medical, dental, vision, HSA/FSA, life and AD&D, disability, EAP, and optional benefits.
• Manage enrollments, qualifying life events, terminations, and COBRA notifications; ensure accuracy and promptness through auditing.
• Organize benefits continuation and premium payments for employees on leave.
• Reconcile invoices from carriers and eligibility files while resolving discrepancies with carriers and brokers.
• Implement open enrollment, which includes system configuration and testing, communications, employee education, and post-enrollment audits.
• Assist with annual renewals by gathering census, claims, and utilization data, as well as preparing plan design analyses.
• Administer 401(k) operations, including handling contribution and loan feeds, monitoring eligibility, managing nondiscrimination testing data, Form 5500, and preparation for the annual plan audit.
• Offer initial support for employee inquiries regarding benefits, claims, and eligibility.
• Manage vendor service-level relationships and monitor service tickets.
• Act as the primary day-to-day administrator for UKG, encompassing transactions, configuration, security roles, and release testing.
• Ensure data integrity across HRIS, payroll, benefits carriers, and the 401(k) recordkeeper.
• Oversee integrations and EDI feeds, rectify routine errors, and escalate structural issues as necessary.
• Develop and sustain reports and dashboards related to headcount, turnover, benefits enrollment and costs, as well as EEO and compliance reporting.
• Assist in HRIS projects and module rollouts by documenting processes, creating test scripts, conducting testing, providing training, and offering go-live support.
• Generate process documentation and job aids, training HR partners, managers, and employees on self-service functionalities.
• Prepare participant notices and maintain plan documents, SPDs, and wrap documents.
• Gather data for ACA reporting, Form 5500, plan audits, and regulatory inquiries.
• Uphold HIPAA privacy practices and monitor state and local regulatory changes impacting benefits.
• Bachelor’s degree in Human Resources, Business, or a related field, or equivalent experience.
• A minimum of 3 years of practical benefits administration experience, including exposure to a multi-state U.S. environment.
• At least 3 years of direct HRIS administration experience within a cloud HCM platform (such as UKG, Workday, ADP Workforce Now, Paylocity, Dayforce, or similar).
• Familiarity with ERISA, ACA, COBRA, HIPAA, Section 125, and FMLA benefit continuation requirements as they relate to daily administration.
• Experience managing an open enrollment cycle from start to finish.
• Proficient in Excel (including pivot tables, lookups, and reconciliation of large files) with strong reporting skills.
• Proven ability to handle confidential employee, medical, and compensation information with discretion.
• Excellent written and verbal communication skills, with the capacity to convey plan provisions to a non-technical audience.
• CEBS, CBP, PHR, or SHRM-CP coursework or certification, or progress toward one is preferred.
• Experience in an HRIS implementation, module rollout, or platform migration is highly desirable.
• Familiarity with 401(k) plan audits and Form 5500 preparation is preferred.
