
Senior Sales Administrative Assistant – West Coast

This is a fully remote position, open to applicants in Illinois.
• Provide comprehensive administrative assistance to Field Sales Managers.
• Implement processes within the department and operations to achieve team objectives.
• Address inquiries by utilizing probing questions and collecting as well as supplying information.
• Oversee logistics and event coordination for leadership meetings, including venue selection, catering, scheduling, and on-site support.
• Organize and manage both domestic and international business travel logistics, ensuring that leaders possess the necessary documentation.
• Draft, revise, and proofread memos, letters, reports, PowerPoint presentations, SharePoint updates, surveys, organizational charts, and records.
• Handle tasks and projects, which include invitations, presentation materials and handouts, meeting notes, action items, audio recordings, online participant inquiries, technical/logistical troubleshooting, and follow-up actions.
• Strategically and proactively manage leaders’ calendars.
• Assist with leadership communications.
• Prepare personnel, purchasing, and administrative forms for approval and processing.
• Train and provide backup support for other Administrative Business Partners.
• Assist in onboarding and offboarding processes for team members in the department.
• Apply company policies, procedures, and operational expertise.
• Engage in departmental projects, training sessions, and team meetings.
• Monitor, maintain, and order departmental supplies while managing the related budget.
• Take ownership of additional department-specific processes or activities as required.

• High School diploma or its equivalent.
• At least 1 year of administrative experience.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and LucidChart.
• Experience in effectively communicating essential information both in writing and verbally.
• Strong proofreading skills for ensuring correct grammar, spelling, and punctuation.
• Capability to learn various software applications.
• Familiarity with reporting automation tools is advantageous.
• A proactive approach with the initiative to anticipate needs and take charge of responsibilities.
• Detail-oriented mindset, ensuring precision in all tasks.
• Problem-solving attitude with the ability to adapt and respond effectively to challenges.
