This is a fully remote position, open to applicants in Texas.
• Evaluate RFP requirements and provide recommendations for the proposal process and content.
• Offer guidance to writers, organizational leaders, and members of the proposal team.
• Establish proposal style conventions and approve templates, covers, spines, tabs, labels, and graphics.
• Create and maintain proposal schedules and compliant outlines.
• Gather RFP inquiries and facilitate internal review and approval processes.
• Lead kick-off meetings, status updates, and color reviews for proposals.
• Ensure adherence to RFP requirements throughout the entire proposal lifecycle.
• Coordinate reviews with Legal, Contracts, Insurance, and other key stakeholders.
• Confirm that all necessary forms and documentation are completed.
• Prepare review packages and assist contributors and reviewers.
• Manage and maintain the proposal collaboration workspace.
• Oversee and support the development and production of graphics.
• Review proposal content for quality, consistency, and compliance with requirements.
• Ensure timely production and coordinate plans for final delivery and submission.
• Conduct final book check reviews.
• Communicate proposal status and escalate any risks or concerns to senior leadership.
• Track and confirm the successful delivery and submission of proposals.
• Assist in the preparation and coordination of oral presentations.
• Bachelor’s degree in Business, Communications, Marketing, or a related field, or equivalent professional experience.
• A minimum of 5 years of experience in proposal management, bid management, or proposal coordination within a relevant industry.
• Proven experience managing multiple proposals simultaneously in a fast-paced, deadline-oriented environment.
• Experience in supporting State and Local Government tenders, RFPs, and procurement processes.
• Familiarity with structured methodologies for proposal development.
• Strong project management, planning, and organizational abilities.
• Exceptional written, verbal, editing, and presentation skills.
• Capability to interpret complex technical information and transform it into clear, customer-oriented content.
• Experience in leading large, strategic, or highly technical proposals.
• Knowledge of government contracting requirements, procurement processes, and formal tender responses.
• Proficient in Microsoft Office Suite and proposal management tools such as SharePoint and content libraries.
