This is a fully remote position, open to applicants in Philippines.
β’ Supervise, train, and lead the Assistant Property Manager along with other property management personnel.
β’ Establish accountability for maintenance tasks, tenant relations, leasing activities, inspections, vendor management, open items, and completion timelines.
β’ Oversee residential and commercial maintenance from the initial report through to verified completion.
β’ Select, schedule, price, supervise, and document vendor work, ensuring quality control and tenant coordination.
β’ Manage lease administration, including lease records, critical dates, renewals, options, rent increases, expirations, notices, and material obligations.
β’ Verify and maintain recurring tenant charges in Propertyware, including base rent, CAM, property tax, insurance, and recoverable expenses.
β’ Collaborate with the Controller to guarantee accurate and timely implementation of tenant charges.
β’ Monitor compliance with tenant and landlord leases, addressing exceptions until resolution.
β’ Maintain a proactive property management calendar.
β’ Review, approve, and authorize payments for property-level bills and vendor invoices.
β’ Confirm work authorizations, completion, pricing, property allocation, and coordinate reconciliation with the Controller.
β’ Manage tenant communications, escalations, complaints, notices, leasing, renewals, AIR forms, DocuSign processes, move-ins, move-outs, delinquency coordination, and operational rent roll information.
β’ Oversee inspections, backflow testing, fire protection testing, local licenses, affordable housing requirements, insurance claims, property tax valuation reviews, capital improvements, repairs, construction, and compliance issues.
β’ Assist with CAM reconciliations by interpreting lease terms, recoverability, allocations, property operations, and supporting documentation.
β’ Maintain comprehensive and up-to-date property records in Dropbox and Propertyware.
β’ Over 3 years of experience in property management, handling both residential and commercial properties.
β’ Demonstrated experience in overseeing daily property operations and managing multiple properties or a portfolio.
β’ A minimum of 2 years of experience in supervising, training, and managing property management personnel.
β’ Strong understanding of lease administration, tenant relations, maintenance coordination, vendor management, and property compliance.
β’ Experience with U.S.-based properties, tenants, vendors, and clients is highly desirable.
β’ Proficiency in Propertyware or similar property management software.
β’ Familiarity with Dropbox, DocuSign, and other property management tools is an advantage.
β’ Strong knowledge of lease terms, renewals, critical dates, tenant charges, CAM, and compliance obligations.
β’ Experience in reviewing vendor invoices, property expenses, and maintenance costs, with a keen eye for financial accuracy.
β’ Excellent organizational and time-management abilities.
β’ Highly proactive, detail-oriented, and solution-driven, with a strong commitment to following through on open items.
β’ Ability to use independent judgment and take ownership with minimal supervision.
β’ Strong proficiency in English, both written and verbal.
β’ Previous experience as an Executive Assistant is a plus.
β’ Proficiency in Spanish is advantageous.
β’ Experience supporting U.S.-based executives, property owners, or real estate professionals is favorable.
