Senior Project Intake Manager

This is a fully remote position, open to applicants in Alabama, +43 more states.

📋 Description

• Act as the primary contact for new Epic project and enhancement inquiries.

• Oversee the intake queue/ticketing system, ensuring that requests include business justification, scope, affected workflows, and requested timelines.

• Assess and prioritize incoming requests in collaboration with Epic application managers and governance committees.

• Direct requests to the appropriate Epic team based on module and complexity.

• Track and report on intake metrics, such as volume, turnaround time, backlog aging, and approval/denial rates.

• Organize intake governance meetings, prepare agendas, and monitor decisions and action items.

• Collaborate with project management to transition approved requests into active project status.

• Monitor request status and provide regular updates to requestors and leadership.

• Identify trends in requests to guide roadmap planning and capacity forecasting.

• Maintain intake documentation, templates, and standard operating procedures.

• Facilitate continuous improvement of the intake process, including tooling enhancements.

⛳️ Requirements

• 4+ years of experience in healthcare IT, project coordination, or Epic-related support.

• Knowledge of Epic application structure and terminology, including module names, build lifecycle, and governance concepts.

• Strong organizational skills with experience in managing queues, tickets, or intake pipelines.

• Excellent written and verbal communication skills; comfortable engaging with both clinical and technical stakeholders.

• Proficient in ticketing/project management tools such as ServiceNow, Smartsheet, Planview, Jira, or similar.

• Epic certification(s) or prior Epic build/analyst experience is preferred.

• Experience in supporting IT governance or demand management processes is preferred.

• Background in a hospital, health system, or ACO/population health IT environment is preferred.

• Detail-oriented with strong follow-through capabilities.

• Able to manage competing priorities from various stakeholder groups.

• Comfortable asking clarifying questions to accurately scope ambiguous requests.

• Possess diplomatic communication skills.
